The Role
We are looking for a detail-oriented and proactive Administrative Assistant to join our operations team. You will be the backbone of our supply chain, coordinating shipments, managing vendor relationships, personally assisting our distributor, tracking inventory, and ensuring our product gets from production to shelf without a hitch.
This is a hands-on role in a fast-moving environment. If you thrive on keeping things organized, solving problems before they happen, and working with a passionate team building something from the ground up, this is for you.
What You'll Do
- Coordinate inbound and outbound shipments with 3PL partners, carriers, and co-packers
- Track and manage inventory levels across retail and DTC channels
- Process purchase orders, shipping documents, and logistics paperwork
- Liaise with retail partners (Costco, Sobeys, and others) on delivery schedules and compliance requirements
- Monitor cold chain logistics to ensure frozen product integrity throughout transit
- Manage and oversee online fulfillment operations end to end
- Maintain accurate financial records and transactions using QuickBooks
- Handle operational and administrative tasks to support the day-to-day running of the business
- Personally assist our distributor's VP, handling phone calls, emails, and other related tasks
- Identify and resolve supply chain issues quickly and efficiently
- Assist with Costco Roadshow logistics, delivery planning, and event coordination
What You Bring
- Proficiency in Microsoft Excel, including data tracking, reporting, and inventory management
- Strong organizational and administrative skills with exceptional attention to detail
- Experience managing online fulfillment operations
- Working knowledge of QuickBooks for financial tracking and recordkeeping
- Experience in logistics, supply chain, or operations administration
- Excellent communication skills, written and verbal
- Ability to manage multiple priorities in a fast-paced environment
- Experience working with 3PL providers and freight carriers
- Familiarity with cold chain or frozen food logistics is a strong asset
Nice to Have (Not Required)
- Understanding of EDI (Electronic Data Interchange) systems
- Familiarity with Costco's Rhythm system and vendor compliance requirements
- Experience with NetSuite ERP management system
Compensation and Structure
- $25 per hour
- Part-time to start with strong potential to transition to full-time
- Employee discount with our distributor, Jesse Tree Fine Foods
Pay: $25.00 per hour
