T4 Power is looking for a Full Time Service Administrator to join our team.
Job Details
In the role of Service Administrator, you will be responsible for scheduling service work in the service department including preventative maintenance. They will act as the company’s first line customer relations and service representative. The Service Administrator is responsible for gathering and interpreting information on generator condition from the Service Technicians to advise the customer on recommended or urgently required services and communicate the information in a professional manner, explaining the benefits of services and the potential outcomes of postponing repairs.
Duties
- Answering incoming phone calls and emails
- Outbound customer calls to schedule preventative maintenance
- Ensure minimum appointments per day per technician are set for each day
- Quote and sell preventative maintenance contracts
- Assist with quoting repairs
- Update customer portals
- Update WSIB certificates
- Update COI’s year as required
- Co-ordinate with aftersales for parts required for service jobs
- Enter service calls when scheduling and create associated sales order with parts needed for service call
- Managing service contracts and enter into ERP system
- Creating accounts for new customers as required
- Create service invoices weekly for completed service calls for branch technicians
- Prepare technician job boxes for the work week
- Maintain an appropriate level of parts inventory at branch
- Create PO’s and order parts as required
- Oversee the day-to-day transaction within the office (incoming shipments, outgoing shipments, packing slips, warehouse transfers)
- Preparing and uploading commissioning and load bank reports
- Sending out inspection reports to customers
- General administration duties as assigned and required

High level of organized and motivation.
Strong computer skills (SAP or other business management software, CRM experience)
