Site Administrator

AECOM is seeking a Site Administrator to join our team at our CNRL Albian Project. This is a full time position on 4 day on, 3 day off rotation.

The Site Administrator tracks and coordinates all phases of the construction project such as bid packages, bid awards, procurement scheduling, deliveries, billing, supplies, and is liaison of communication between field engineers, suppliers, vendors, etc. Ensures that goals are met for timeliness, accuracy, quality, and price.

May include the following responsibilities:
+ Control and distribution of incoming correspondence.

+ Collection and actioning of outgoing correspondence.

+ Create monthly supply orders, PO’s and expense forms for craft and staff when required.

+ General filing, document control procedures, manage project directory, and documents throughout all phases of a project.

+ Under general supervision, performs general duties that are often routine and repetitive.

+ Provide general office support to all site personnel.

+ Assist with flight bookings and flight reports for all staff and craft employees.

+ Assist in Deduction letters to craft.

+ Review and schedule applicable safety training.

+ Assist with Onboarding and terminations when required.

+ Meet and greet new hires on orientation days to assist them to site.

+ Create and distribute NOC’s, DOA’s to Head office.

+ Coordinate with Head Office for all payroll queries and follow current query procedure.

+ Balancing data entry daily, when required.

+ Maintain the Vacation Tracker of all staff.

+ Coordinate and assist in the preparation of reports as required.

+ Actively participate and identify areas of improvement and provide solutions.

+ Create and maintain vehicle passes, visitor passes, and staff registration forms for all new hire staff members, as requested.

+ Other reception duties as required.

Conditions of Employment for this position are:
1. For positions that fall into the list of required positions within the AECOM Oil & Gas Background Check policy, qualified applicants who are offered, and accept, the role must complete a satisfactory pre-employment Background Check. This may consist of all or a combination of the following: Canadian Criminal Record check, an Employment Verification and/or an Education and Accreditation Verification.

2. Qualified applicants who are offered, and accept, a position must provide evidence of a satisfactory Alcohol & Drug test in accordance with the Company's Alcohol & Drug Policy. In order to be valid, the test must have been conducted at the direction of AECOM - O&G Business Unit.

Minimum Requirements

+ High School Diploma.

+ Minimum 2 years of related work experience required or demonstrated equivalency of experience and/or education.

+ Experience with Microsoft Excel, Word and Outlook.

+ CSTS 09 Ticket.

+ Standard First Aid

+ Able to work in camp environment.

+ Able to travel, if and when required.

+ This position will be required to drive a vehicle on behalf of AECOM and therefore will require the candidate to submit a satisfactory driver's abstract for review.

Preferred Qualifications

+ Previous site administrative experience is preferred.

+ Administrative Diploma would be an asset.

+ Live plant experience is an asset.
