As a Proposal Manager, you will play a key role in the development, coordination, and delivery of high-quality marketing and business proposals that support the growth of the organization across all divisions. Reporting to senior leadership, you will be responsible for managing the end-to-end proposal process, ensuring compliance with RFP/RFI requirements, and producing compelling, visually engaging submissions that align with corporate strategy and brand standards.
This role requires a detail-oriented and creative professional with strong writing, design, and project coordination skills, as well as the ability to manage multiple deadlines in a fast-paced environment.
- Manage the full RFP/RFI review process, including requirements analysis, outlining, scheduling, assignments, and risk identification.
- Develop detailed proposal plans, including timelines, responsibility matrices, and compliance checklists.
- Lead bid/no-bid discussions and coordinate pursuit planning sessions with internal stakeholders.
- Facilitate proposal reviews to ensure quality, consistency, and compliance.
- Ensure all submissions align with corporate objectives, policies, and branding standards.
- Write, edit, and proofread proposal content, reports, correspondence, and supporting documentation.
- Ensure all materials meet standards for accuracy, grammar, formatting, clarity, and compliance.
- Collaborate with leadership and subject matter experts to develop project narratives and employee resumes.
- Maintain consistency in messaging, tone, and overall proposal storytelling.
- Translate proposal strategy and win themes into compelling visual layouts using Adobe InDesign and Creative Suite.
- Develop graphics, diagrams, and visual storytelling elements to enhance proposal submissions.
- Select and curate imagery that strengthens messaging and improves proposal impact.
- Ensure all documents are professionally designed and aligned with brand standards.
- Develop marketing materials, presentations, newsletters, and internal communications.
- Support corporate meetings, training sessions, and business development presentations.
- Assist with preparation and distribution of press releases and company announcements.
- Contribute to maintaining a consistent corporate brand across all materials.
- Maintain and organize historical proposal content, templates, and marketing assets.
- Track KPIs related to proposal activity and outcomes.
- Update and manage opportunity data in Salesforce, including reporting and tracking.
- Monitor procurement and bid platforms (MERX, DCN, Biddingo, Bids & Tenders) for opportunities and ensure subscriptions remain current.
- Post-secondary diploma or certificate in Marketing, Communications, Business Administration, or related field.
- 3–5 years of experience in proposal coordination or proposal management in a professional environment.
- Experience in the construction industry is considered an asset.
- Strong experience with Adobe InDesign and Microsoft Office Suite.
- Strong proficiency in Adobe InDesign and Adobe Creative Suite.
- Experience with CRM systems such as Salesforce.
- Strong understanding of proposal/RFP processes and compliance requirements.
- Familiarity with online bidding platforms (MERX, DCN, Biddingo, Bids & Tenders).
- Excellent writing, editing, and proofreading skills.
- Strong visual communication and design awareness.
