Job Overview
We are seeking a detail-oriented and organized Bookkeeper/Administrative Assistant to join our team. This role involves managing financial records, providing administrative support, and ensuring smooth office operations. Responsibilities
Bookkeeping & Financial Administration
- Day-to-day bookkeeping using QuickBooks Online
- Record and reconcile patient payments, deposits, and refunds
- Carry out revenue billings for the patients in the patient management system
- Carry out a bank deposit run on a weekly basis
- Track and manage petty cash
- Process accounts payable — supplier and vendor invoices
- Processing of bi-weekly payroll and handling queries relating to payroll, ROEs, vacation, etc.
- Perform monthly bank and credit card reconciliations
- Assisting the Controller with month-end & year-end close and other ad hoc reporting
Administrative Support
- Assist the Practice Manager and Director of Operations with administrative tasks around the clinic
- Manage office supplies and track clinic inventory
- Assist with matters related to IT support and facility management & maintenance
- Assist the Controller with matters relating to property tax & insurance
- Support the clinic team with day-to-day administrative tasks
- Support the clinic team in procurement and vendor management
- Assist with special projects as requested by clinic leadership
Qualifications
- 3+ years of bookkeeping or accounting support experience
- Proven experience with Office applications including Microsoft Office and Google Workspace
- Strong proficiency in QuickBooks and general bookkeeping practices & principles
- Previous clerical or administrative experience, preferably in a medical or dental office setting
- Excellent data entry skills with high accuracy and typing speed
- Strong organizational skills with the ability to multitask effectively
- Exceptional customer service skills with professional phone etiquette
- Experience with filing systems and front desk responsibilities
- Ability to handle multi-line phone systems efficiently
- Attention to detail for proofreading documents and maintaining accurate records
- Knowledge of medical or dental office procedures is a plus but not required
- Demonstrated ability to work independently and as part of a team
- Experience in a medical, dental, cosmetic, or wellness clinic environment
Pay: $22.00-$30.00 per hour
