Responsibilities
- Manage front desk operations, including greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy
- Perform data entry tasks accurately using Microsoft Office applications, Google Workspace, and QuickBooks for bookkeeping and record-keeping purposes
- Maintain organized filing systems—both physical and digital—to ensure quick retrieval of documents and compliance with company policies
- Provide exceptional customer service by addressing inquiries promptly, supporting clients, and handling customer support issues efficiently
- Assist with clerical duties such as proofreading documents, preparing correspondence, and managing appointment schedules
- Support medical or dental office functions by managing patient records, verifying insurance information, and coordinating appointments (if applicable)
- Perform general office tasks including ordering supplies, managing inventory, and maintaining a clean, organized workspace
Skills
- Proven experience with Office experience including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Strong computer skills with the ability to handle data entry accurately and efficiently
- Excellent organizational skills with keen attention to detail for filing, proofreading, and managing multiple priorities
- Demonstrated clerical experience in a busy office environment, preferably in medical or dental settings
- Exceptional customer service skills combined with professional phone etiquette and experience handling multi-line phone systems
- Familiarity with QuickBooks for bookkeeping purposes and basic financial record management
- Ability to perform typing at a fast pace while maintaining accuracy; adept at proofing documents for errors
- Knowledge of medical or dental office procedures is a plus; experience as a dental receptionist or in healthcare administration is highly desirable
- Strong organizational skills to coordinate schedules, manage paperwork, and support team needs effectively
