What You’ll Be Responsible For:
Patient Experience & Scheduling
- Welcome and support patients in person, by phone, and by email, from first inquiry through ongoing care.
- Guide patients through registration, medical history forms, and required documentation.
- Schedule consultations and follow-ups, and manage cancellations and waitlists to minimize gaps in practitioner schedules.
- Follow up with patients to confirm appointments, share updates, and gather feedback.
- Work closely with practitioners to communicate treatment information clearly and accurately.
Records & Billing
- Maintain accurate, complete, and confidential patient records, intake forms, and appointment histories.
- Ensure documentation complies with clinic policy and privacy legislation; audit files for completeness.
- Enter and maintain billing information; explain payment processes and collect payments per clinic policy.
- Prepare reports on scheduling, cancellations, no-shows, and patient activity to support operational decisions.
Clinic Operations
- Help maintain a welcoming, organized reception area and monitor front desk supplies.
- Support patient engagement initiatives, referral programs, and surveys.
- Contribute ideas in team meetings and assist with special projects as needed.
What You Bring:
- Genuine enjoyment of helping people, with empathy, professionalism, and confidence.
- Builds trust with patients and helps them feel confident moving forward, staying organized and responsive so every inquiry gets timely follow-up.
- Strong organizational skills and comfort managing multiple priorities under pressure.
- Close attention to detail, especially with patient records and billing.
- Quick comfort with EMR, scheduling, and billing software.
- A collaborative, solutions-oriented approach and willingness to take initiative.
- Experience in healthcare, medical administration, surgical clinics, physiotherapy, or another patient-facing role is an asset.
Qualifications:
- Minimum two years of experience as a Medical Office Assistant (MOA) or in a similar healthcare role.
- Fluent, professional English communication, written and verbal.
- Experience with EMR systems is essential; experience with Accuro is an asset.
- Prior customer service experience, including outside healthcare, is an asset.
- A commitment to confidentiality and professionalism when handling sensitive patient information.
