JOB SUMMARY
Daily work hours: 8:00 am– 4:30 pm, Mon-Fri
This role serves as the first point of contact, either in person, on the telephone, or through online inquiries. This position is essential to ensure the smooth operations of all departments within our production facility. This role requires exceptional organizational, communication, and interpersonal skills.
DUTIES AND RESPONSIBILITIES
Administrative & Office Support
- Maintain records, document filing/tracking, and data entry (e.g., scanning invoices and packing slips)
- Scan, store, and adjust employee timecards as required
- Order office supplies and maintain inventory levels
- Manage staff parking when required
- Perform other administrative or work-related tasks as assigned
Fleet & Truck Administration
- Coordinate vehicle check-in and check-out processes, including:
- Taking photos
- Creating identification tags
- Recording serial numbers and odometer readings
- Inspecting and documenting damages
- Manage all truck movements (check-in/check-out tracking and documentation)
- Maintain VIN tracking and associated paperwork
- Issue, verify, and monitor WTB serial number plates
- Update Work Truck Site (FODS) upon completion of NSM activities
- Manage Ford Tracking systems across multiple websites
- Update milestones for all Ford Pool units
- Prepare, laminate, and digitally file Crane Stability Certificates
- Upon truck departure:
- Scan and file documentation
- Send notification emails
- Maintain organized monthly physical filing
- Maintain and organize truck-related photos (check-in, check-out, QC, and completed files)
- Create and label folders for new jobs and completed projects
- Manage and clean up job files in systems such as Black Book
Safety & Compliance Support
- Check in visitors, contractors, and service personnel; provide safety orientation documentation and any required PPE
- Maintain visitor logs in coordination with the Safety Coordinator
- Support emergency preparedness by maintaining attendance sheets and whiteboard updates during drills or incidents
REQUIRED QUALIFICATIONS
- +5 years of administrative experience
- Previous experience in a manufacturing facility
COMPETENCIES & SKILLS
- Ability to organize & maintain multiple projects with cross-functional departments
- Detail-oriented and able to work independently with minimal supervision.
- Excellent written and verbal communication skills.
- Strong interpersonal skills and the ability to build positive relationships with clients, visitors, and team members.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
