Advocate Printing & Publishing is currently seeking an enthusiastic and motivated individual to join our team as a Mail Logistics Coordinator at our print production facility located at 181 Brown’s Point Road, Pictou. Reporting to the Warehouse & Distribution Manager this position partners and collaborates with shipping and receiving, production teams, external customers and regulatory agents. The Mail Coordinator coordinates and executes customer shipment orders, mail house services, distribution plans, mailing lists and ensure shipments meet regulated standards.
Job Responsibilities

Receive, review and execute customer distribution instructions with a high degree of accuracy.

Coordinate multiple shipment orders and mailing lists, including data preparation, address correction, duplicate removal, sorting and file validation using approved mailing software.

Develop and maintain customer distribution plans to support timely and cost-effective delivery.

Ensure all mailing comply with Canada Post standards and regulatory requirements.

Prepare mail for production as required and generate accurate run sheets for flyer programs.

Liaison with Canada Post and other regulatory agencies regarding mailing specifications and processing requirements.

Support daily shipping and outbound logistics activities as required.

Maintain safe working practices in accordance with company Health and Safety Standards.

Perform other plant-related duties as assigned.
Qualifications and Requirements

Previous experience in print production, direct mail, distribution, or logistics environments preferred.

Advanced proficiency in Microsoft Excel, including sorting, filtering, data validation, formulas, and basic data analysis of large data sets.

Experience preparing and processing mail in compliance with Canada Post standards and approved mailing systems is a strong asset.

Strong attention to detail with the ability to manage large data sets accurately.

Ability to prioritize workload and adapt effectively in a fast-paced, deadline-driven production environment.

Forklift certification or experience is an asset.

Strong communication skills with the ability to collaborate across departments and external partners.
