Job Summary
We are seeking a detail-oriented and organized Administrative Assistant to support our financial services team. This role is open to both licensed and unlicensed candidates who are eager to contribute to a professional environment focused on investment and financial planning services. Duties
- Manage and organize client files, records, and documentation with accuracy and confidentiality
- Assist with scheduling appointments, meetings, and follow-up communications
- Prepare and process administrative paperwork related to financial transactions and client onboarding
- Coordinate communication between clients and financial advisors or team members
- Maintain office supplies and ensure the workspace remains organized and efficient
- Assist in preparing reports, presentations, and other documentation as needed
- Support compliance with regulatory requirements by maintaining proper documentation
Requirements
- Familiarity with investment processes or financial services is preferred
- Strong organizational skills with attention to detail
- Excellent written and verbal communication abilities
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to handle sensitive information with discretion and confidentiality
- Strong problem-solving skills and a proactive attitude
- Ability to work independently as well as part of a team
- Candidates must be either licensed or unlicensed; licensing is advantageous but not mandatory for unlicensed applicants willing to pursue certification if required
