This position has an end date of March 31, 2022 with the possibility extension.
The hours of work are based on the department's academic schedule and operational requirements. This entails a rotating schedule for approximately 32-35 weeks per year, up to 40 hours/week during the weeks that clinics are open, and up to 9 hours/week the weeks they are closed, with minimal hours from mid December to January and mid-July to early-September.
The Patient Services Clerk is responsible for providing various clerical, administrative and reception services to patients, students, staff and instructors. Please note that this position is physically located in High Level, Alberta.
Acts as the first point of contact for the clinic - responds to telephone and in-person inquiries
Books and confirms all appointments; registers and admits patients to the clinic
Prepares, gathers and files patient charts; prepares reports for the morning and afternoon registration of patients
Maintains a priority list of patients requiring appointments on short notice
Monitors patient flow and booking capacity
Ensures that financial contracts and arrangements are explained and confirmed with the patient, parent or billing party prior to the start of treatment
Completes insurance forms; ensures that all insurance and predetermination claims have been submitted and received
Collects fees from patients and processes cash, cheques, POS debit and credit card payments
Balances daily receivables and prepares daily deposit
Works in cooperation with the Finance and HR Team to manage outstanding accounts
Submits accounting reports to the Finance & HR Team Lead as required
Maintains database of referring specialists and schedules appointments as required
Provides reports to the Supervisor, Dental Outreach Program and HR & Finance Team Lead for items such as clinic vacancies, cancelations/failed appointments, reappointments, etc.
Ensures security of patient charts and performs chart audits each year
Monitors office supplies and orders items as required
Picks up, processes and drops off mail daily
Maintains waiting room; photocopies, faxes and other general office duties
Performs additional duties as assigned by the Supervisor, Dental Outreach Program and the Finance & HR Team Lead
Minimum High School Diploma supplemented with post-secondary coursework in secretarial/office administration or in medical/dental terminology
2-3 years of relevant office experience in a fast paced environment; experience in a dental/medical office environment desirable
Knowledge of dental terminology and billing codes is an asset
Accurate data entry skills; an accounting background is an asset
Experience dealing with a large volume of telephone calls; experience dealing with the general public
Ability to multi-task, prioritize and perform tasks accurately with attention to detail
Ability to work independently with minimal supervision and work well under pressure
Excellent communication (verbal and written) skills
Computer proficiency using MS Office (Word, Excel, and Outlook)
