Office Administrator – Client Services & Accounts

ONYX Smart Security protects homes, businesses, and institutions across Grey and Bruce Counties. We design, install, and monitor alarm systems, IP camera networks, access control, and smart building technology — and we've built a reputation for doing it to a standard our competitors don't match.
We're growing quickly. Our client base is expanding, we're adding to our field team, and we're investing in the systems and people that let us scale properly. That growth has created this role: a dedicated Office Administrator to own the client experience and the account operations that keep a company like ours running.

The role
You'll be the first point of contact for our clients and the operational centre of our office. You'll own the client relationship from first call through account setup, service, and ongoing support — and you'll be trusted with the details that matter in a security business.
Client services
- Serve as the first point of contact for incoming calls and correspondence
- Manage service requests: verify account status and coordinate with our technical team
- Field new client enquiries, capture requirements, and work alongside our sales lead
- Deliver the pre-installation and post-installation client communication that sets the tone for every relationship
Account management
- Onboard new clients: monitoring platform setup, alarm.com configuration, zone programming, emergency contact lists
- Maintain the integrity of recurring monthly billing across our client base
- Manage monitoring billing, invoicing, and accounts receivable follow-up
- Coordinate job closeout and invoicing with the field team
Operations and administration
- Manage purchasing and supplier relationships
- Process warranty claims and returns
- Maintain client agreements, monitoring contracts, and company documentation to an audit-ready standard
- Contribute to our internal operations manual as we continue to systematize the business
Growing into the role
- Take ownership of account data standardization and client record accuracy across our systems
- Take on inventory management and supplier ordering as you settle in
Where this role goes
We're not hiring an assistant. We're hiring the person who will run our office.
In your first year, you'll build the systems and standards this position operates on. As we continue to grow — more technicians, more clients, a larger operation — this role grows with us in scope, responsibility, and compensation. The person who does this job well becomes indispensable, and we'll treat them accordingly.
What we're looking for
- Exceptional organizational skills. You manage competing priorities without dropping any of them, and you follow through without needing to be asked twice.
- Outstanding client service. You're confident and personable on the phone, you handle difficult conversations with poise, and you take genuine pride in how clients are treated.
- Professional presence. As our first point of contact, you represent ONYX in every interaction.
- Technical aptitude. You pick up new software quickly and independently. Experience with security systems is an asset, not a requirement — but the ability to learn them is essential.
- Precision with documentation. Contracts, records, and account details need to be accurate the first time.
- Composure in a fast-paced environment. Our workload fluctuates. You thrive on productive, varied days.
- Experience in office administration, client services, dispatch, or reception — background in the trades, construction, or a service business is a strong asset
- Proficiency with Microsoft 365 or Google Workspace and comfort with invoicing or bookkeeping software
- A clear criminal record check is required prior to starting. This role is entrusted with alarm codes, camera credentials, and client keys.
