Reporting to the Executive Director, Lake Simcoe Conservation Foundation (Foundation) you will provide senior level administrative support to the Executive Director, Foundation staff and Board Members, so that we can accomplish the Foundation mission of raising funds for the Authority to complete projects which will ensure a healthy Lake Simcoe watershed.

- 5 years’ experience in an administrative function supporting managers/senior leaders. Experience with not-for-profit, an asset.

- Proficient in the use of Microsoft Office Suite, e-Tapestry donor management software and Sage accounting system.
- Glass G Driver's License.
- Experience working with a Board of Directors.
What you will do
- Verify and issue tax receipts for donations. Verify instructions from donors, code gifts, enter into the database, run reports, issue thank you letters and tax receipts and file as appropriate.
- Download weekly BBMS Disbursement Reports, post donations in accounting system and save donation backup copies to the Finance drive.
- Ensure monthly donation information is accurately entered into database and credit card numbers and expiry dates are updated as required by contacting donors and reconcile monthly with LSRCA finance.
- Update e-Tapestry with new donor information, enter payroll donations, and provide donation, disbursement and reports & to the Authority Finance department.
- Financial Reporting: Quarterly Report (Budget vs. Actual) and other Stakeholder/Campaign specific reports, as requested
- Correspond with donors and answer inquiries, produce donor reports as needed.
- Process invoices and expenses.
- Provide administrative support for events and programs throughout the year including:
§ Inspiring Greener Communities
§ Conservation Days
§ Annual Conservation Dinner
§ Annual Golf Tournament
§ Memorial Bench and Tree Programs
§ Franklin Fishing Day
§ Direct Mail and Leadership Circle
- Provide administrative support to the Board of Directors and Executive Director of Foundation.
- Prepare agenda and board package, send to board members and attendees, take meeting minutes, send out meeting notices and other related tasks as needed.
- Coordinate office supplies for the Foundation and update and manage fundraising database.
- Responsible for Foundation filing and records management.
Start Date: January 2025
Hours of work: 35-hour work week. Monday to Friday, 8:30 a.m. to 4:30 p.m.
