We are seeking a highly organized, adaptable, and proactive Service Coordinator to serve as the central hub of our office operations. This role is ideal for a self-starter who thrives in a fast-paced environment, enjoys wearing many hats, and excels at keeping everything running smoothly behind the scenes. The Service Coordinator plays a key role in scheduling, customer service, administrative support, and overall office coordination.
Key Responsibilities:
Customer & Client Communication:
- Serve as the first point of contact for clients, handling calls, emails, and inquiries.
- Coordinate service appointments, follow-ups, and ensure timely communication between technicians and clients.
- Build and maintain strong, long-term relationships with customers.
Scheduling & Dispatching:
- Schedule technicians and field staff for service calls.
- Track job progress and adjust schedules as needed to ensure efficiency.
Administrative Support:
- Manage daily office tasks including filing, data entry, and document preparation.
- Maintain accurate service records and customer databases.
- Prepare and send invoices; assist with basic bookkeeping as needed in QuickBooks Online
Office Coordination
- Order and manage office and service-related supplies.
- Organize and maintain office systems and files (both digital and physical).
- Support leadership with various projects and administrative tasks.
Qualifications:
- Proven experience in office administration, service coordination, or similar role.
- Excellent communication and customer service skills.
- Strong organizational and multitasking abilities.
- Proficiency with Microsoft Office, scheduling software, and/or CRM systems.
- Experience with QuickBooks Online
- Ability to work independently and as part of a team in a dynamic environment.
- Positive, can-do attitude with a willingness to learn and take initiative.
- Post-secondary education is preferred but not required.
- 1+ years of experience in an Administrative/Customer Service based role is required
Work Hours/Location
- Monday to Friday, office hours 7:30-4:00pm (working hours may vary)
- This position is not remote, and the requirement is to be in the office daily.
Job Type: Full-time
Pay: $25.00-$33.00 per hour
