We’re looking for a motivated, detail-oriented Operations & Safety Coordinator to support our team and help keep our daily operations running efficiently.
This position is ideal for someone who enjoys working with people, improving systems, staying organized, and playing an important role in supporting both field crews and management.
This Position is a maternity leave coverage to start immediately with an end date of Dec 2027. There is the possibility of a permanent position for the right candidate.
Responsibilities
Health & Safety
- Coordinate monthly safety meetings, including preparing presentations, recording meeting minutes, and maintaining attendance records.
- Assist with COR audit preparation and ongoing safety compliance.
- Maintain and update new hire orientation materials, employee handbooks, training resources, and seasonal safety information.
- Assist with site safety inspections and ensure corrective actions are completed.
- Maintain workplace safety boards and PPE inventory.
- Participate as a member of the Joint Health & Safety Committee and prepare meeting documentation.
Operations & Systems
- Administer SiteDocs, including user setup, permissions, custom forms, document management, and employee support.
- Review daily field documentation and ensure records are accurate and complete.
- Build reports, dashboards, and automated workflows to improve operational efficiency.
- Maintain company operational tracking spreadsheets and databases.
Fleet & Equipment Support
- Assist with GPS fleet management, including vehicle setup and tracking.
- Maintain fleet maintenance records and monitor upcoming service requirements.
- Generate vehicle tracking reports for management as required.
Time & Attendance
- Manage the uAttend timekeeping system.
- Create employee accounts, provide training, and troubleshoot issues.
- Audit time records and assist with payroll reporting.
- Generate weekly overtime and attendance reports.
Administrative Support
- Assist management with day-to-day administrative projects.
- Coordinate company events such as staff lunches, holiday celebrations, and team activities.
- Provide general operational support across multiple departments.
Qualifications
- Previous experience in an administrative, operations, safety, or office coordination role.
- Strong organizational and time management skills.
- Excellent verbal and written communication.
- High attention to detail with the ability to manage multiple priorities.
- Proficient with Microsoft Office (Excel, Word, Outlook).
- Comfortable learning new software and technology.
- Experience with SiteDocs, COR, fleet management systems, or timekeeping software is considered a strong asset.
- Ability to work independently while collaborating with a team.

Pay: $18.00-$26.00 per hour
