ADMINISTRATIVE ASSISTANT - GRAPHIC DESIGN, COMMUNICATIONS AND POLITICAL ACTION
The successful candidate will provide senior administrative support and perform specific tasks related to publications, including, but not limited to:
- Preparing, editing and designing print and digital publications, both hard and electronic copy
- Designing books, booklets, annual reports, brochures, flyers, posters, newsletters, cover designs, and promotional materials
- Creating digital graphics and shareable content for websites, presentations, and social media platforms
- Developing and maintaining branding standards to ensure visual consistency across all publications and communications
- Preparing digital images, illustrations, and graphics for print and web-based platforms
- Establishing and maintaining processes for approval, reprints, pricing, promotion, copyright, branding, etc.
- Collaborating with internal departments to develop creative concepts and translate ideas into visually engaging materials
- Managing multiple design projects simultaneously while ensuring deadlines and quality standards are met
- Maintaining organized electronic files, image libraries, templates, and publication archives
- Coordinating and supporting workflows, ensuring projects are completed within established timelines.
- Answering/screening telephone calls in a courteous, professional, and timely manner ensuring the confidentiality of conversations and information
- Other duties as assigned by the manager or designate, including, but not limited to catering and reception relief
Skills required for this position include, but are not limited to:
- Outstanding creative/graphic skills and experience with InDesign, Photoshop, Illustrator, Adobe and other graphics programs, desktop publishing/editing software
- Demonstrated experience designing materials in print and digital publications
- Excellent attention to detail with strong proofreading skills
- Outstanding interpersonal, written and verbal communication, analytical, problem- solving and decision-making skills
- Outstanding organizational skills with the ability to multi-task, thrive in a fast-paced environment, adapt quickly to change, and develop new skills
- Ability to communicate positively with staff members, political, and organizational representatives, while maintaining a high level of professionalism and confidentiality
- Advanced Windows and Office 365 skills (Outlook, Access, Excel, Word and PowerPoint), Internet Explorer, etc., as well as the ability to learn new software as required
- Knowledge of branding standards, accessibility requirements (including AODA), and document formatting best practices is considered an asset
- Ability to lift approximately 10 lbs or more
The expected compensation range for this position is $69,898 - $88,496 from Scale B2-B7.
