Engagement: Year-round contract / part-time ongoing
Estimated Annual Commitment: Approximately 30 onsite event days + approximately 4 maintenance days per month, with additional availability for shows, festivals, private events, and equipment-related work
Compensation: $12,500 annual guaranteed base + additional event/equipment-related compensation
THE ROLE
Long Shot Events is looking for an experienced, capable, hands-on Equipment & Logistics Manager to take responsibility for the care, organization, maintenance, deployment, and ongoing development of our event equipment.
We own and operate a growing inventory of event production equipment used across concerts, festivals, private events, and other projects throughout Vancouver Island.
We're looking for someone who likes tools, knows how equipment should be cared for, notices problems before they become failures, and takes pride in keeping things organized and ready to go.
This is a practical, hands-on role with a significant amount of independence.
The successful candidate will become the primary person responsible for ensuring our equipment is maintained, accounted for, serviced, repaired, stored properly, and ready when we need it.
KEY RESPONSIBILITIES
Equipment Management
- Maintain and organize Long Shot Events' equipment inventory
- Track equipment condition, location, usage, and maintenance requirements
- Conduct regular inspections
- Identify damaged, aging, or missing equipment
- Develop and maintain equipment care and replacement plans
- Ensure equipment is properly stored, cleaned, labelled, and ready for deployment
- Recommend repairs, replacement, upgrades, and new purchases
- Research equipment and source appropriate products within approved budgets
- Maintain basic records of equipment purchases, repairs, and maintenance
Event Deployment
Provide equipment support across Long Shot Events' event calendar, including approximately:
- 3 major festivals per year
- Medium-scale concerts and shows
- Private and corporate events
- Approximately 30 onsite/event-related days per year, with the schedule established in advance
Responsibilities may include:
- Preparing equipment for events
- Loading and unloading
- Transporting equipment
- Setting up and packing down equipment
- Supporting event teams with equipment needs
- Ensuring equipment returns to the correct storage location
- Identifying issues following events and addressing them before the next deployment
Ongoing Maintenance
Approximately 4 maintenance/service days per month will be scheduled throughout the year.
These days may include:
- General repairs
- Cleaning and servicing
- Tool and equipment organization
- Trailer and storage maintenance
- Inventory checks
- Preventative maintenance
- Equipment testing
- Repair coordination
- Building or modifying equipment where appropriate
- Preparing equipment for upcoming events
TRANSPORTATION & LOGISTICS
The role may also include:
- Towing trailers and equipment
- Moving equipment between storage locations and event sites
- Loading and securing equipment for transportation
- Coordinating equipment deliveries and pickups
- Supporting event-site logistics
A reliable vehicle capable of safely transporting or towing equipment is required.
Additional compensation may be available for specific towing, transportation, or equipment-heavy assignments depending on the scope of the work.
Food Trailer
Long Shot Events is also developing Long Shot Hospitality, including a commercial food trailer.
The Equipment & Logistics Manager may have opportunities to support towing, movement, maintenance, setup, and equipment logistics related to the food trailer.
Food-trailer-specific work would be compensated separately from the base Equipment Manager role.
WHO WE'RE LOOKING FOR
This role is a good fit for someone who is:
- Hands-on and mechanically capable
- Comfortable using common tools
- Able to lift and move heavy equipment safely
- Experienced with trailers and/or towing
- Organized and dependable
- Able to work independently without constant supervision
- Comfortable evaluating equipment condition
- Good at troubleshooting and problem solving
- Able to research equipment and make practical purchasing recommendations
- Comfortable working within budgets
- Detail-oriented and proactive
- Available for scheduled event and maintenance commitments
- Comfortable working outdoors and in changing conditions
Required
- Valid driver's licence
- Clean driver's abstract
- Reliable transportation
- Ability to lift and move heavy equipment
- Ability to work scheduled maintenance and event dates
- Strong organizational and communication skills
- Competency with tools and basic equipment maintenance
Experience in event production, construction, trades, outdoor recreation, film production, hospitality, equipment rental, or similar fields would be an asset.
COMPENSATION
The position includes a guaranteed annual base of $12,500, paid throughout the year.
This base is intended to cover the regular equipment-management responsibilities, including approximately:
- 4 maintenance/service days per month
- Approximately 30 onsite/event days annually
- Routine equipment oversight
- Inventory management
- Equipment research and purchasing
- Maintenance planning
- General equipment administration
Additional compensation may apply for:
- Medium shows beyond the included annual commitment
- Additional festivals
- Private/corporate events
- Significant equipment builds or projects
- Towing and transportation assignments
- Food-trailer-related work
- Other work outside the agreed base scope
FINDER'S FEE
We are also interested in creating an incentive for the Equipment & Logistics Manager to help grow the business.
Where the manager independently sources and helps secure a new event or client for Long Shot Events, an agreed finder's fee or commission may be paid based on the nature and value of the opportunity.
The specific structure would be agreed upon in advance.
