Reporting to the Manager, Corporate Services – Mental Health and Addictions, this position is accountable for the efficient coordination and operation of the Mental Health and Addictions portfolio. This role aids in the planning and execution of work to support the goals and objectives of the portfolio, specifically as it relates to the COO, and other members of the team. The Executive Coordinator is accountable for project management support, office management, issues management, committee support, stakeholder (internal and external) liaison and executive administrative support. This includes supporting the development of a variety of documents, serving as a special project resource as required, booking and providing support for meetings and events, efficient coordination and operation of the day-to-day activities of the team and performing other related duties. The position is also involved in the successful development, implementation and communication of projects or initiatives. This role serves as the first point of contact for this office and as such the Executive Coordinator must excel at collaboration and teamwork, always maintaining a professional level of tact. Ability to prioritize requests and duties, and ability to work in a busy environment is key to this position. This position is non-unionized.

Required Qualifications:
Diploma in Office Administration, Business Administration or related field. Minimum three years of experience providing executive support. Equivalencies in education and experience may be considered.
Additional Required Qualifications:
Demonstrated ability to effectively manage multiple tasks, deadlines and competing demands while using structured systems to support smooth executive workflows. Demonstrated ability to remain calm, flexible and solutions-oriented in a fast-paced environment. Proactive approach to identifying issues, analyzing root causes and implementing practical solutions that enhance executive decision-making. Clear and professional communication skills with strong business writing abilities for briefings, correspondence and other executive-level documents. Demonstrated ability to build trust, collaborate effectively across all levels of the organization and navigates competing interests with tact and diplomacy.
Preferred Qualifications:
Bachelor’s degree in Business Administration, Communications, Public Administration or related field. Project management or change management certification (e.g., CAPM, PMP-lite or Prosci ADKAR). Health care experience and system knowledge. Experience in project coordination, strategic planning support or office/operations management. Demonstrated proficient with Microsoft computer software applications, including Word, Excel and PowerPoint.
