About the Role
We are seeking a highly organized, proactive, and detail-oriented Administrator to join our team in St. John’s, NL. This role is essential to ensuring the smooth day-to-day operations of our office while supporting both administrative and accounting functions.
The successful candidate will thrive in a fast paced environment, demonstrate strong attention to detail, and bring a positive, team oriented attitude. From day one, you will actively be engaged in supporting operations, client communication, and internal coordination.
Key Responsibilities
- Provide daily administrative support to staff and management
- Manage calendars, appointments, and meeting coordination
- Prepare, edit, and format correspondence, reports, and documents
- Answer and direct phone calls, emails, and client inquiries
- Maintain organized digital and physical filing systems
- Prepare project files and maintain documentation
- Order and manage office supplies and inventory
- Coordinate shipments, couriers, and incoming/outgoing mail
- Greet clients and provide general information about services
- Attend meetings and prepare minutes as required
- Assist with bookkeeping tasks including invoicing, expense tracking, and data entry
- Support accounts receivable and collections activities
- Assist with travel arrangements and logistics
- Handle confidential information with discretion and professionalism
- Perform other administrative duties as required
Qualifications
- Office Administration or Business diploma considered an asset
- Minimum 1 year of experience in an administrative or related role
- Strong proficiency in Microsoft Office 365 (Word, Excel, Outlook)
- Excellent organizational, time management, and multitasking abilities
- Strong written and verbal communication skills
- High attention to detail and problem-solving ability
- Ability to work effectively in a fast-paced, deadline-driven environment
- Demonstrated professionalism, initiative, and reliability
- Keyboarding speed of 60 wpm considered an asset
Assets
- Experience with accounting software (e.g., Sage 50)
- Experience with invoicing, receivables, or bookkeeping
- Customer service experience
- Familiarity with office management procedures
- 3–5 years of administrative experience is considered an asset
Additional Requirements
- Must have a valid driver’s license and access to a reliable personal vehicle
- Must be able to be insured and operate a company vehicle if required
