As a key member of our administrative team, the prime responsibility of this role is to keep the day-to-day business activities of a busy professional firm running smoothly.
At present, we have team members working remotely as well as number of staff are working in our office, while practicing social distancing. Our expectation is that the newest member of our office administration team will work in the office full-time for 40 hours a week.
Responsibilities
Key responsibilities include but are not limited to:
· Printing and assembly of client deliverables, in both paper and PDF formats. This includes financial statements, corporate and personal tax returns as well as other correspondence.
· Filing of PDF copies of all outbound client deliverables in our digital document management system.
· Handling electronic traffic both in and out of the firm through our secure client portal.
· Daily scanning, logging and filing of inbound correspondence.
· Screening and directing incoming calls, logging inbound and outbound mail packages.
· Manage front desk - Maintain professionalism and organization of front desk
· Greet clients and visitors to the office
· Manage appointments on staff Outlook calendar + manual
· Deal with client issues on a walk in basis
- Answer general inquiries of clients, staff
- Issue letters and documentation
- Notify clients of documentation available for pickup, and distribute
- Assume role of primary contact for the office facilities management
- Ownership of overall office maintenance (cleanliness, plant watering, office and kitchen supplies, etc.)
- Maintain a high level of confidentiality in all interactions.
- Perform general office duties which may include filing office documents and maintaining filing systems, responding to routine inquiries, operating printers/office machines, stuffing envelopes, faxing documents, scheduling/arranging meetings
Requirements
· Possess a strong client service focus and project an image of professionalism, integrity, tact and discretion.
· Excellent problem solving skills, including the ability to work independently or with staff and clients depending on the task at hand.
· A strong attention to detail.
· A general comfort and familiarity with technology. If you are fearful of or hesitant around technology, this is not the position for you.
· Excellent written and verbal communication skills, must be fluent in English & Hindi
· Self-motivated, with a strong sense of pride in their work.
· Business attire.
Experience and Education
· A high school diploma is a must required. A post-secondary education would definitely be an asset.
· Minimum of 2-3 years’ experience in an office environment with proven skills in an administration support capacity.
· Strong technical skills in Microsoft Office (Outlook, Word and Excel)
· Prior experience with time and billing systems, DocuSign, CCH Portal and CCH Document would be beneficial but are not essential.
· Strong organizational skills including the ability to prioritize between tasks.
Hours of Work
· 40 hours per week, working on Saturdays for a min of 5 hours for the months of March to June is necessary.
Note that our office is closed between Christmas and New Year’s.
Vacation
· 2 weeks with two blackout periods, March 1st to June 30th and July 15th to July 30th.
Compensation
· Salary is commensurate with experience plus bonus paid out after successful completion of 1 year, typically 5% of annual salary, for full year, contingent on individual meeting their objectives and on Firm meeting objectives.
