Job Responsibilities
Under the general direction of the Manager Transit Operations, the position is responsible for:

Preparing PM bus dispatch, dispatch sheets, and maintaining driver/dispatch log.

Initiating appropriate action in response to service breakdowns, change offs, detours, emergencies, collisions, etc.

Monitoring and applying work rules to drivers sign up selections (both work week and vacations); preparing and modifying weekly board for the following week and posting in the drivers’ room; preparing bus drivers daily schedules; informing drivers of work assignments for the following day; recording requests for lieu days/floater days.

Ensures that drivers report on time and to their assigned vehicle on time; processes and records all attendance documentation.

Preparation of driver’s sign-up board and dispatch sheets as required.

Recording all information regarding the assigning of drivers i.e. hours worked, sickness, time off, etc.

Attending Health and Safety meetings, preparing and distributing minutes

Responsible for all aspects of payroll for driving staff including preparing and uploading approved payroll to finance and recording all overtime and shift premiums for supervisors.

Responsible for assigning overtime as per the Collective Agreement; recording overtime in O/T book; calculating value of extra time sheets and applying to payroll and hours offered; distributing meal allowances; completing equalization, monitoring, reviewing and approving shift changes and shift assignments in compliance with ESA.

Completing payroll sheets and posting in Excel daily; investigating and taking appropriate action for payroll errors.

Daily preparation of spare board as per provisions of the Collective Agreement.

Processing all necessary forms and paperwork as required by the Collective Agreement.

Booking of driver’s license renewals.

Investigating and reporting on public complaints and other incidents as directed.

Maintaining a good working knowledge of all routes, schedules and regulations so as to provide excellent responses to public inquiries

A thorough understanding of the UNIFOR 1256 Collective Agreement

Liaising with other departments when required

Performing other duties as assigned
Qualifications

Completion of Grade 12 education plus complementary courses related to computer applications and business administration.

A minimum of 3 years of office administration experience in a fast-paced unionized environment.

Experience with payroll administration systems and an understanding of the Employment Standards and the Occupational Health and Safety Acts.

Good verbal and written communication and public relations skills are desirable attributes

Must be able to deal effectively with the public in person, via email or over the phone and be able to apply common sense, use good judgment, be courteous, and discrete, to ensure customer satisfaction at all times.

Must demonstrate an advanced level of proficiency working with spreadsheets and word processing software (Microsoft Word and Excel).

Must have an excellent command of the English language, both written and oral.

Good working knowledge of Transit systems would be an asset.

Must be resourceful and have initiative to work with little supervision.

Must have strong organizational and time management skills, as well as an understanding of sensitive and confidentiality requirements.

Must hold and provide a copy of a valid and unrestricted Ontario Driver’s License Class G minimum with a driving record that demonstrates responsible and safe driving behaviour.
