We are seeking a professional, organized, reliable, and responsible Legal Receptionist / Administrative Assistant to join our law firm on a full-time, in-person basis.
This is a client-facing position, and strong telephone and client communication skills are essential and required. The successful candidate must be comfortable answering a high volume of telephone calls, communicating with clients professionally, managing appointments, organizing files, communicating with courts and other parties, and assisting with a variety of administrative and legal tasks.
We are looking for someone who is reliable, detail-oriented, willing to learn, able to work independently, and interested in a stable, long-term position.
Responsibilities
- Answer and direct incoming telephone calls in a professional and courteous manner.
- Communicate with clients by telephone, email, and in person.
- Respond to client inquiries and provide appropriate follow-up.
- Greet clients and assist with front-desk and reception duties.
- Book, confirm, cancel, and reschedule appointments.
- Maintain and organize the office calendar and appointment schedules.
- Follow up with clients regarding appointments, documents, payments, and outstanding matters.
- Open, organize, maintain, and update electronic and paper client files.
- Prepare and maintain organized file books and document records.
- Scan, copy, print, upload, download, organize, and file legal documents.
- Assist with the preparation, filing, and service of legal and court documents.
- Communicate with court offices, opposing parties, other lawyers, and other professionals by telephone and email as required.
- Prepare, send, receive, organize, and respond to routine correspondence and emails.
- Enter and maintain accurate client and file information.
- Assist lawyers with administrative and legal-related tasks.
- Perform other duties and tasks as assigned.
- Work efficiently and professionally in a busy, fast-paced law office environment.
- Learn new procedures, systems, and tasks independently and with minimal supervision.
- Maintain strict confidentiality and professionalism when handling client and legal information.
Qualifications & Skills
- Fluent Mandarin and English are required.
- Excellent verbal and written communication skills.
- Strong telephone and client communication skills are required.
- Previous experience in a law firm, legal office, reception, or administrative position is preferred.
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Ability to handle multiple tasks, prioritize work, and meet deadlines.
- Professional, courteous, and respectful when communicating with clients, lawyers, court staff, and other parties.
- Ability to work independently and take initiative.
- Willingness and ability to learn new tasks, procedures, and systems.
- Knowledge of legal terminology, court procedures, or legal office software is an asset.
- Proficiency with Microsoft Office and general computer applications is an asset.
- Reliable, responsible, punctual, and willing to take on additional responsibilities when required.

Compensation
$45,000 – $60,000 per year, depending on experience, qualifications, and suitability for the position.
- Probationary period: 1–2 months.
- Following successful completion of the probationary period, compensation may be reviewed and adjusted based on performance, experience, qualifications, and overall suitability for the position.
