BCAA's Workforce Management team is looking for a Regular Full-time Workforce Management Administrative Agent. As one of BCAA’s Customer Experience enablers, you support and administer the workforce management functions for BCAA’s Service Locations and Contact Centres. You support the team’s delivery of amazing Customer Experiences in order to turn the ordinary into the extraordinary.

Specifically, you will provide time keeping, administrative and clerical support within the Workforce Management Team who in turn will ensure the efficient operation of our Service Location and Contact Centre operations.

Key Responsibilities:
Within a retail sales environment, you are a caring administrative professional who enables BCAA’s Service Locations/Contact Centres to achieve its Customer Experience, financial growth and risk management goals through the following:
Administer time tracking activities within BCAA’s Workday, Verint and Excel systems.
Daily review and approval of employee time submissions
Validate scheduling anomalies that arise due to discrepancies with Workday Time & Leave and Scheduling systems
Updating regularly planned activities into Excel schedules or Verint scheduling system such as team meetings/huddles.
Answer queries from Management and Team Members
Contacting various stakeholders Workforce Management supports for any missing information
Monitor the Workforce Management email account
Maintains accuracy of team member skillsets within Workforce Management related systems/spreadsheets
Prepares and distributes regular scheduled reports to stakeholders for review such as overtime and hours worked
Provides accurate and regular visibility on team member Time Off Balance to Workforce Management Team.
Record keeping and other clerical functions
Offers general administrative support to the Workforce Management Team such as OT call outs to internal staff when required.

Minimum Qualifications
Completion of Grade 12.
Minimum of 2 years’ prior experience as an office assistant, office administrator or handling administrative responsibilities in a related field.
Prior experience as an office assistant, office administrator or handling administrative responsibilities in a related field.
Strong computer skills with intermediate knowledge of MS Office Suite Products (Excel, Word, Outlook).
Demonstrated multi-tasking skills and proven ability to prioritize activities.
Strong interpersonal communication skills with a focus on connecting with others.
Proven customer service and conflict resolution skills.
Ability to maintain composure and a high level of professionalism within a fast-paced team environment.
Proven judgment and decision-making abilities.
Preferred Qualifications
One year of scheduling or payroll administration experience.
Knowledge of applicable BCAA systems (Verint, Cisco and Workday).
Experienced with P&D policies related to Time & Attendance.
Working knowledge of Collective Agreement an asset.
