Reporting directly to the Turnaround Planning & Scheduling Lead you will support the ongoing management and administration of all identified scope for any Turnaround, Pit Stop or Outage Event.

Responsibilities:
Provide support to the TA Planning & Scheduling Team regarding Scope Identification and Scope Tracking prior and during an Event (Turnarounds, Outages, etc.) Lifecycle, Addendum Work Requests (AWR) and Scope Change Requests (SCR) administration during review and approval stages of Scope selection. Assist the Turnaround Leadership Team in resolving issues regarding work orders to be executed. The Turnaround Administrator is also responsible for progressing the database using the best available technology relevant to the CMMS system.

Turnaround Specific:
Maintain the identification in Maximo of all approved Scopes
Maintain the Scope Database with respect to movement of scope in and out of Turnarounds, user permissions and improved data collection points, reducing redundancy between the CMMS system and Scope Database and alert Leads and Stakeholders when anomalies are noted in user activities within the database
Develop and maintain AWR and SCR forms
Produce an AWR and SCR Process Flow
Maintain the AWR and SCR Logs
Send electronic communication updates and action items to all Stakeholders for AWR’s and SCR’s
Provide Widely Important Goals (WIG) holders with updated scope data relevant to their WIG scoreboards
Support data collection for Turnaround Dashboard
Maintain the Action Tracker Log for scope requirements and issue reminders or alerts to individuals with upcoming actions to maintain the integrity of the scope
Create and maintain a One Page Scope and subsequent revisions
Set up and attend all scope related meetings
Keep all Business Units (BU) informed of scope changes
Work closely with Operations, Execution, Planners, Schedulers, Finance and Operations Centered Organization (OCO) Teams
Develop a bilateral relationship between the OCO Support Administrator to facilitate the OCO mandate
Participate in scope vetting and validation sessions
Point of contact between all Business Units for scope questions

General Administration Assistance:
Participate as an effective member of the U2 Upgrading Turnaround Team
Provide cross-shift coverage and assist the TA Manager Administrative Assistant
Write and Maintain minutes of meetings for TA scope and documents in the database
Generate scope related Power Point presentations as needed
Identify “opportunities for improvements” as you see them in any and all scope related areas

Mentorship:
Provide Access support as required for Work Package creation and Scope Management and Administration
Provide Excel support to Team Members as required

HSE
Comply with all Health and Safety requirements establish by site
Know and comply with all regulations and legislative requirements of Occupational Health and Safety Act for the Province of Alberta and environmental standards
Follow safe work procedures and ensure all comply
Report any injury or illness immediately
Report unsafe acts and conditions
Ensure Personal Protective Equipment (PPE) is available and is worn where and when required

Skills
At least 5 years Oil & Gas Experience
At least 2 years Turnaround experience
At least 4 years as Junior Planner with planning knowledge
Excellent knowledge of IT related programs (excel, MS Outlook, PowerPoint, Access, etc.)
Strong communication skills
Experience with Maximo CMMS will be an advantage
Background in Coordination will be an added advantage

4/3 Rotation - 10 hour days
