Job Overview
We are seeking a compassionate, dedicated and detail-oriented Medical Receptionist to join our eye care team. The Medical Receptionist serves as the first point of contact for patients and visitors and plays an essential role in ensuring a welcoming environment, managing front desk and administrative operations, coordinating patient appointments, collecting patient information, and processing payments.
Key Responsibilities:
Reception Duties:
- Greet and assist clients in a courteous, friendly and professional manner
- Answer and direct incoming phone calls, voicemails, emails and faxes
- Maintain a professional front-of-house appearance, including clean and organized waiting room and reception areas
- Update and maintain accurate client information
- Ensure confidentiality and security of all patient and other sensitive information
- Provide information to existing patients and potential clients about the clinic, team of Doctors of Optometry and wide range of services we provide
- Understand and maintain accurate, high-level knowledge of all products and services we provide, including sub-specialty fields of Vision Therapy, Colourimetry, Dry Eye Clinic, Low Vision Clinic, Syntonic Therapy and Specialty Contact Lenses
- Ensure patients complete their Patient Health Questionnaire at check-in to their appointments
- Create invoices and collect payment from clients for delivered products and services
- Resolve or escalate client issues and inquiries as necessary
- Manage task list regarding communications from Doctors of Optometry and other team members in reference to specific patient inquiries
- Conduct reminder calls and send reminder emails and texts for upcoming patient appointments
- Send patient recalls in collaboration with the Patient Care Coordinator
- Complete triage form for patients contacting the clinic with emergency care requests and collaborate with Doctor of Optometry to schedule emergent visits
- Check patients in and out from their appointments at the clinic
- Follow the “Smart Booking” system for appointment scheduling for optimum patient flow within the clinic
- Accurately advise patients of any fees associated with their appointments at the time of booking, rescheduling and confirming appointments
Administrative Support:
- Schedule primary care optometry appointments
- Schedule sub-specialty service appointments such as low vision assessment, vision therapy, binocular vision assessments, dry eye treatments, colourimetry and other similar services
- Handle incoming and outgoing mail and packages
- Handle incoming and outgoing referrals, including adding incoming documents to the patient file and notifying the relevant Referral Coordinator and supervising Doctor of Optometry
- Scan and file confidential patient, administrative or financial documents
- Assess eligibility of a patient for a type of third-party funded service, including Veteran’s Affairs and DND Blue Cross
- Assess eligibility of a patient for a type of government-funded service, including OHIP, ODSP, OW and NIHB
- Assist with accounts receivables management
- Assist with maintenance of office supplies and product inventory management
Office Coordination:
- Coordinate with other departments to support office operations
- Perform light housekeeping duties to maintain clean and organized reception, client and staff areas
- Perform auxiliary testing of patients of the business including non-contact tonometry, lensometry, auto-refraction and other similar tests on an as-needed basis, as per the direction and under the supervision of a Doctor of Optometry
- Assist with opening and closing duties for the clinics when scheduled to do so
Pay: $18.87-$21.56 per hour
