Position Overview:
We are seeking a proactive and self-starting Administrative Assistant for a 6-month term position. This part-time role (20 hours per week) offers flexibility while providing a meaningful opportunity to contribute to our mission. The ideal candidate will be a quick learner, able to manage various administrative tasks efficiently while balancing work and personal commitments.
Key Responsibilities:
· Invoicing & Payment Monitoring: Accurately prepare and monitor invoices, track payments, and follow up on outstanding accounts.
· Inquiry Management: Respond to inquiries from clients, stakeholders, and the community in a professional and timely manner.
· Online Meeting Oversight: Schedule, organize, and facilitate online meetings and trainings, ensuring all technical aspects run smoothly.
· Program Tracking: Manage registrations and invoicing for events, maintaining clear communication with participants and staff.
· Data Management: Maintain and update databases and records, ensuring all information is accurate and up to date.
· Document Preparation: Prepare reports, presentations, and other documentation as needed for meetings and events.
· Scheduling: Manage calendars, schedule appointments, and coordinate travel arrangements as necessary.
· Office Coordination: Assist with the organization of office supplies and ensure the workspace is well-maintained.
· Platform Interaction: Engage with various online platforms and software tools to streamline operations and enhance communication.
· Event Support: Assist in planning and coordinating events, including logistics, materials preparation, and participant communications.
· Customer Service: Provide excellent customer service to clients and stakeholders, addressing inquiries and resolving issues promptly.
Qualifications:
· Minimum of 3 years’ experience in an administrative role.
· Proficiency in Microsoft Office and Office 365.
· Strong organizational and multitasking skills, with a high level of accuracy in preparing and entering data.
· Exceptional verbal and written communication skills in English.
· Self-directed with the ability to exercise sound judgment and make decisions with minimal supervision.
· Ability to handle confidential information with professionalism.
· Strong interpersonal skills to interact effectively with all stakeholders.
· Familiarity with online meeting tools and event management software is a plus.
