About the Opportunity
We are seeking a highly organized and proactive Field Administrator to support the day-to-day administrative and operational functions of one of our clients on a contract basis for approx 2 months. This role plays a key part in ensuring the efficient coordination of personnel, equipment, materials, and documentation while supporting field operations and project teams.
The successful candidate will act as a central point of communication between the field and office, maintain accurate records, assist with reporting, payroll and invoicing processes, and contribute to the overall efficiency and success of operations.
Key Responsibilities
Administrative Support
- Provide day-to-day administrative support to field operations and project teams.
- Serve as a primary point of contact for internal and external stakeholders.
- Manage incoming communications, documentation, and correspondence.
- Maintain organized electronic and physical filing systems.
- Prepare reports, presentations, meeting materials, and meeting minutes.
- Coordinate office supplies, equipment, and general administrative requirements.
Payroll, Invoicing & Reporting
- Assist with timesheet collection, payroll administration, and employee records.
- Review, process, and track invoices and supporting documentation.
- Compile, verify, and maintain operational data for reporting purposes.
- Generate routine and ad hoc reports for management and field leadership.
- Ensure accuracy and completeness of records and documentation.
Operations Coordination
- Support field personnel with administrative and project-related requirements.
- Track personnel, materials, equipment, and project updates.
- Coordinate onboarding activities and administrative setup for new team members.
- Assist with scheduling, training coordination, and document management.
- Facilitate communication between field teams, vendors, and office personnel.
Safety & Compliance Support
- Assist with maintaining safety documentation and records.
- Support compliance initiatives and reporting requirements.
- Track certifications, training records, and documentation renewals.
- Maintain databases, manuals, and operational documentation.
- Ensure adherence to company policies, procedures, and record-keeping standards.
Maintenance & Asset Administration
- Support maintenance teams with data entry, documentation, and tracking activities.
- Maintain accurate records related to equipment, assets, and maintenance activities.
- Assist with monitoring operational and maintenance performance metrics.
Qualifications
- Previous administrative experience in a field, operations, industrial, construction, energy, or related environment is considered an asset.
- Strong organizational, planning, and multitasking abilities.
- High level of accuracy and attention to detail.
- Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
- Strong written and verbal communication skills.
- Ability to work independently and collaboratively within a team environment.
- Demonstrated problem-solving skills and ability to manage changing priorities.
- Professional, reliable, and committed to maintaining confidentiality.
- Ability to learn and adapt to new software, systems, and processes.
