WHO WE’RE LOOKING FOR
We’re looking for a highly dependable and detail-oriented Administrative Assistant / Bookkeeper to join our head office team. This dynamic position balances full-cycle bookkeeping with hands-on administrative support to help keep our multi-company operation running smoothly.
You’ll be responsible for a variety of day-to-day tasks: managing QuickBooks files, preparing deposits, reviewing company bank accounts and payables, running errands across town, and offering reception and executive support. This is a great opportunity for someone who thrives on variety, is naturally organized, and values being a key support player.
YOUR RESPONSIBILITIES
BOOKKEEPING & FINANCE SUPPORT
- Full-cycle bookkeeping using QuickBooks Online
- Accounts payable and receivable management
- Monthly bank and credit card reconciliations
- Reviewing company bank accounts for available funds
- Preparing deposits and completing bank runs
- Coordinating cash orders and refilling ATMs across sites
- Collecting financial paperwork from local businesses
ADMINISTRATIVE SUPPORT
- Managing incoming admin emails and requests
- Ordering office and kitchen supplies
- Assisting with leadership bookings, travel, and scheduling
- Coordinating errands across town as needed
- General reception support (phones, mail, drop-ins)
- Supporting company projects and one-off assignments
WHAT YOU BRING TO THE TABLE
- 2+ years of relevant bookkeeping experience
- QuickBooks Online proficiency
- Experience supporting multiple companies (strong asset)
- A diploma or degree in Bookkeeping, Accounting, Business Administration, or Finance is highly advantageous.
- Strong organizational skills and the ability to multitask
- Valid driver’s license and reliable vehicle for errands
- Excellent verbal and written communication
- Highly dependable, self-motivated, and adaptable
- Positive and proactive attitude – no job too big or small
