About Us: Food Matters Manitoba is a dedicated non-profit organization committed to supporting local communities through food security and sustainability initiatives. Our mission is to ensure that all Manitobans have access to nutritious food and the skills and resources to grow, share, and prepare it. We are seeking a detail-oriented and organized Executive Assistant to assist the Executive Director and the organization with the daily activities of our operations.
Key Responsibilities: The Executive Assistant will serve an integral role ensuring the efficiency and effectiveness of the Executive Director, while providing administrative and basic financial support to the organization.
● Executive Director Support:
○ Organization and scheduling of meetings and calendar
○ Assist with preparation of reports, documents, and presentations
○ Coordinate and organize external and internal communications
○ Assist with strategic planning and collaboration
● Grant Support:
○ Coordinate financial aspects of grants, including budgeting and reporting
○ Maintain accurate financial and grant records per organizational policies
○ Ensure proper allocation and tracking of grant funds
○ Carry out small scale procurement-based grants
● Administrative Support:
○ Support program managers with procurement, logistics, and budgeting as required.
○ Assist bookkeeper with organizational finances (preparing invoices, expenses, reports, deposits, and other funding or office requirements as required)
○ Identify and manage internal projects, including office maintenance, IT, and system improvements.
○ Maintain contact lists and organizational records
○ Create and update job descriptions and employment contracts.
● Office Management:
○ Handle routine office procedures such as phone calls, filing, photocopying, mailings and word processing
○ Manage office supplies and equipment
○ Accept charitable donations, process receipts, and prepare thank you notes.
○ Provide support for select Food Matters Manitoba and community events.
○ Maintain office systems for reception, accounting, meetings, human resources and payroll, internal and external communications, philanthropy, and office maintenance
○ implement online documentation best practices throughout organization
○ Process and respond to telephone inquiries, emails, and other correspondence.
○ Assist with other work-related tasks as assigned.
Qualifications:
● Proven experience as an assistant, office administrator or any other applicable role
● Excellent organizational and multitasking skills.
● Strong written and verbal communication skills.
● Attention to detail and problem-solving skills.
● Proficiency in MS Office (MS Excel, MS Word, and MS Outlook).
● Ability to work independently and as part of a team.
● An interest in food security and community development is a benefit
● Previous experience in a non-profit organization is an asset.
