City Life Church and Highroad Academy are seeking an experienced Administrative Lead to provide leadership and oversight of the administrative services that support our church and school communities.
This role leads the teams responsible for finance, administration, and HR operations. The Administrative Lead is accountable for ensuring systems, processes, budgets, reporting, and organizational workflows operate smoothly, allowing ministry and education teams to focus on what they do best.
This role is ideal for an experienced operational leader who enjoys building strong teams, creating clarity, and ensuring organizational excellence.
About the Role
The Administrative Lead provides leadership to the administrative functions of the organization, overseeing the teams responsible for finance, human resources operations, and general administration.
Rather than performing the day-to-day accounting or HR functions, this role ensures those functions are well led, well coordinated, and consistently executed through the team.
Working closely with organizational leadership, you'll establish priorities, improve systems, coordinate annual budgeting and audit processes, and ensure operational accountability across both the church and school.
Initially reporting to the Senior Pastor/CEO, this position will transition to reporting to the Campus Lead as the organization continues to grow.
What You'll Be Responsible ForTeam Leadership
- Lead, coach, and develop the administrative, finance, and HR support teams.
- Establish clear ownership, priorities, and accountability.
- Foster collaboration and continuous improvement across the department.
Operational Leadership
- Ensure administrative systems and workflows are efficient, documented, and consistently followed.
- Oversee organizational budgeting timelines and coordinate the annual budgeting process.
- Coordinate annual audit preparation and organizational readiness.
- Ensure reporting, compliance, and operational deadlines are achieved.
- Improve systems that increase organizational effectiveness and reduce administrative complexity.
Financial & Administrative Oversight
- Provide leadership oversight for the teams responsible for:
- Accounts payable and receivable
- Payroll administration
- Tuition administration
- Donations and charitable receipting
- Financial reporting processes
- Partner with the Finance Advisor to ensure accurate reporting, strong internal controls, and organizational readiness.
Human Resources Coordination
- Provide operational oversight of HR processes in partnership with the HR & People Lead.
- Ensure HR systems, payroll, onboarding, contracts, and administration remain aligned.
- Support organization-wide staffing cycles and administrative HR processes.
Cross-Functional Leadership
- Partner with church and school leaders to ensure administrative services effectively support both environments.
- Remove operational bottlenecks and improve organizational effectiveness.
- Lead special projects and continuous improvement initiatives.
What We're Looking ForExperience
- 5+ years of leadership experience in administration, operations, finance, or business management.
- Experience leading teams and managing operational functions.
- Experience coordinating budgeting, reporting, compliance, or audit processes.
- Experience improving organizational systems and workflows.
- Experience in a nonprofit, education, or faith-based organization is an asset.
