POSITION OVERVIEW
The Sales Coordinator at Basecamp Motorsports plays a vital supporting role within the sales department, ensuring smooth day-to-day operations and an exceptional customer experience. This position works closely with the Sales Manager and sales team to keep inventory presentation sharp, deliveries running on time, and administrative processes organized and efficient.
KEY RESPONSIBILITIES
Inventory & Website Management
- Photograph new and pre-owned units upon arrival, ensuring images are high quality, well-lit, and properly staged.
- Upload unit photos and descriptions to the dealership website and third-party listing platforms in a timely manner.
- Maintain accurate and up-to-date inventory listings, including pricing, specifications, and availability status.
- Audit website listings regularly to remove sold units and update any changes in inventory.
Delivery Coordination
- Prepare delivery packages for all unit sales, ensuring all paperwork, titles, warranties, and accessories are complete and accurate prior to customer pickup or delivery.
- Coordinate with finance, service, and parts departments to confirm units are fully prepped, cleaned, and ready for delivery on schedule.
- Communicate delivery timelines to customers and provide updates as needed to ensure a seamless handoff experience.
- Conduct a pre-delivery walkthrough checklist to verify unit condition and completeness before customer arrival.
- Follow up with customers post-delivery to confirm satisfaction and address any outstanding items.
Sales Administrative Support
- Assist the Sales Manager with day-to-day administrative tasks including filing, data entry, and report preparation.
- Maintain and organize customer records, deal jackets, and sales documentation in both physical and digital formats.
- Track and log incoming leads from website inquiries, phone calls, and walk-ins and route them to the appropriate salesperson.
- Prepare and distribute daily, weekly, and monthly sales activity reports as directed by the Sales Manager.
- Order and maintain an adequate supply of sales materials, forms, and office supplies.
- Support the planning and coordination of sales events, promotions, and floor displays.
QUALIFICATIONS
- High school diploma or equivalent required; post-secondary education in business or a related field is an asset.
- Previous experience in an administrative, coordinator, or customer service role preferred; motorsports or automotive industry experience is a plus.
- Strong computer skills including proficiency with Microsoft Office (Word, Excel, Outlook), Canva, and AI tools; comfort learning dealership management software.
- Familiarity with AI-powered tools for content creation, workflow automation, or customer communication is considered a strong asset.
- Excellent organizational skills with a strong attention to detail and ability to manage multiple tasks simultaneously.
- Strong written and verbal communication skills.
- A positive, team-oriented attitude with a passion for motorsports and delivering an outstanding customer experience.
- Valid driver’s license required.
WORK ENVIRONMENT & SCHEDULE
This is a full-time, in-person position based at our dealership. The role requires availability on weekends and during peak sales periods. The Sales Coordinator will spend time both on the showroom floor and at a desk, and may occasionally assist in outdoor lot areas for photography and unit preparation.
Pay: From $21.00 per hour
