About the Role
We are looking for a highly organized, proactive, and execution-focused Chief of Staff to work closely with the CEO and help drive priorities across the organization.
The Chief of Staff will act as a key extension of the CEO, helping translate leadership priorities into execution, maintaining visibility across departments, and ensuring important initiatives and commitments continue moving forward.
This is not an administrative assistant role and does not involve directly managing departments. It requires strong judgment, excellent communication, independence, persistence, and the ability to work effectively with senior leaders.
Key Responsibilities
CEO & Leadership Support
· Work closely with the CEO to understand strategic priorities, business objectives, and immediate operational needs.
· Attend key leadership meetings and calls, document important decisions, and translate discussions into actionable next steps.
· Prepare the CEO for important meetings by gathering relevant information, updates, and outstanding issues.
· Maintain visibility of key priorities, decisions, projects, risks, and issues across the organization.
Execution & Accountability
· Convert CEO and leadership direction into clearly defined actions, owners, deadlines, and expected outcomes.
· Maintain a centralized view of company-wide initiatives, projects, commitments, and recurring responsibilities.
· Follow up with department heads and managers to ensure commitments remain on track.
· Establish reminders and follow-up routines for important deadlines and action items.
· Identify stalled projects, missed deadlines, and gaps in execution before they become larger problems.
· Escalate significant or recurring issues to the CEO with appropriate context and recommended next steps.
Operational Oversight
· Review departmental reports, KPIs, trackers, documents, and other deliverables to ensure accuracy and completeness.
· Proof-check work rather than relying solely on reported completion.
· Compare results against expectations, identify inconsistencies, and ensure corrective action is taken.
· Monitor whether established processes, meetings, reporting requirements, and operational standards are being followed.
· Conduct regular visits to company locations to independently assess execution and identify operational gaps.
· Follow up on issues identified during location visits and ensure they are resolved.
Cross-Functional Coordination
· Work across departments to ensure priorities remain aligned and dependencies are addressed.
· Facilitate communication between the CEO and department leaders when required.
· Ensure important decisions and expectations are clearly understood by the relevant teams.
· Help remove roadblocks by connecting the right people, information, and resources.
· Step into operational or strategic projects when additional ownership is required.
Startup Environment & Special Projects
· Take on a broad range of strategic, operational, and organizational projects as business needs evolve.
· Be comfortable moving between high-level strategic work and detailed execution.
· Wear multiple hats and shift priorities quickly when business needs change.
· Take ownership of projects that may not have an obvious owner.
· Build processes, trackers, and systems where they do not yet exist.

· Comfortable wearing multiple hats in a fast-moving environment.
· Professional when handling sensitive or confidential information.
· Able to exercise sound judgment about what to handle independently and what requires CEO involvement.
Experience
· 3-5 years of relevant professional experience in Chief of Staff, business operations, strategy & operations, project management, management consulting, business analysis, or a related field.
· Experience working closely with a CEO or senior executive is strongly preferred.
· Experience in a startup, entrepreneurial, fast-growing, or multi-location environment is an asset.
· This role is suited to someone who enjoys ownership over routine, solving problems rather than simply identifying them, and seeing ideas move from conversation to implementation.

Location: Toronto, ON — Hybrid
Employment Type: Full-Time
Pay: $80,000.00-$95,000.00 per year
