Are you looking for an exciting opportunity with a new program in Alberta Energy? The Site Rehabilitation Program (SRP) is administered by the Alberta Department of Energy and provides funding in the form of grant payments to the oil field services sector to abandon, and/or reclaim upstream oil and gas infrastructure. The program objectives are to increase employment in this sector, while also decreasing the environmental liability associated with oil and gas development.
Reporting to the Manager, Application/IT and Data Centre, the Inquiry Centre Support, Program Services 4 position is responsible for triaging/screening and managing a large amount of inbound and outbound email inquiries and phone calls (recorded messages) and ensuring that the Site Rehabilitation Programs (SRP) mandate and requirements are communicated in a correct, consistent and timely manner.
The Inquiry Support Program Services 4 position will ensure:
- Responses use consistent and clear key messaging when handling different topics.
- Information regarding any issue need to be researched and a reply is provided.
- Applicants are informed on the process and information on the program is provided
Many of the inquiries will be relatively easy to reply to, but several will need input from other teams, so the position will work closely with the applicable SRP Managers, Director and Executive Directors and subject matter experts for the program to address questions regarding application requirements, technical questions or general concerns on the program.
The role is also responsible for providing feedback to the Executive Team on common questions/issues that arise, and informing the Executive Team of any inquiries of a sensitive nature.
This position will provide support and resources to the Manager, Application/IT and Data Centre or Managers from the Application Review Centre and Resource Programs, Director, Executive Director related to the SRP. Participate in SRP committee meetings that may have an impact on Inquiry Centre communication. Provide feedback on web-page content and enhancements. Provide external feedback on the program to the SRP Executive Team; ensure key messaging is maintained for the Inquiry Centre.
Communicate and consult with the Executive Team and Communications as needed. Collect and prepare daily statistics for the Manger that includes how many email and phone inquiries received and responded and what is outstanding. Ensure SRP mailbox structure and SharePoint records adhere to records management policy. Reply to inquiries from the SRP mailbox and recorded voicemails. Reach out to subject matter experts to get technical or policy input as required. Forward questions to other teams that come to the inbox such as Site Nominations, ETS, Crown Land Data. Send notifications to applicants whose applications are declined. File approved grant agreements an inquiries in the mailbox folder for the appropriate team to review Send email updates to the SRP email contact list as necessary. Manage and maintain large distribution lists for sending out mass emails.
University graduation in geology, engineering, law, commerce or accounting, or other related field plus 4 years of progressively related experience is required.
Demonstrated understanding of grant programs, including knowledge of the legislation, regulations, and policies related to the SRP program. Demonstrated knowledge and experience of government decision-making processes, coupled with a thorough and broad understanding of energy industry and oil and gas sectors is required. Demonstrated experience with Microsoft Outlook, Excel, Word and SharePoint is required.
Demonstrated ability to gather and disseminate information and foster good inter-governmental and external stakeholder public relations is required. Proven understanding of oil and gas business activities such as wells, facilities, and pipelines is required.
Demonstrated understanding of the roles and responsibilities of Alberta Energy, Alberta Energy Regulator and their mandate, as well as understanding government business plan goals and strategic policy directions as they relate to the program mandate.
Proven organizational and project management skills will be required to triage inquiries and assign work, as well as strong interpersonal communication skills along and problem solving and decision-making. Demonstrated teamwork skills, and proven written and verbal communication skills are essential. The proven ability to analyze, interpret and think critically, coupled with the ability to respond and make appropriate decisions is required. Ability to work independently, as well as working in teams is required.
