Job Summary
We are seeking an energetic and detail-oriented File Coordinator/Intake Clerk to join our team. In this vital role, you will manage client intake processes, organize legal files, and ensure smooth communication between clients and our office. Your proactive approach will help us deliver exceptional service while maintaining accurate records and efficient workflows.
Duties
- Greet clients and visitors warmly, answering multi-line phone systems with professionalism and enthusiasm.
- Collect and verify client information, ensuring accuracy for legal documentation.
- Organize and maintain electronic records and legal files using Unity, Teraview and Microsoft suite.
- Coordinate the intake process by gathering necessary documentation, scheduling appointments, and updating case statuses.
- Assist with administrative tasks such as data entry, document scanning, and filing to support office operations.
- Communicate effectively verbally and in writing with clients, other law firms, brokerages and other external agencies to facilitate smooth case progression.
- Support front desk operations by managing appointment calendars and handling general inquiries efficiently.
Experience
- Previous experience in a law office is highly desirable, demonstrating familiarity with office procedures and multi-line phone systems.
- Experience working with electronic records or legal document management systems like Unity or similar software and Teraview is preferred.
- Strong knowledge of legal terminology, particularly related to real estate matters, Wills and Estates Planning enhances communication accuracy when handling sensitive client information.
- Proven administrative experience in a busy office setting, showcasing organizational skills and attention to detail.
- Excellent interpersonal skills with the ability to handle multiple tasks confidently while maintaining professionalism under pressure.

Pay: $20.00-$32.00 per hour
