About the Role
We are seeking a detail-oriented and dependable Administrative Assistant to join our administration team. The ideal candidate will provide crucial administrative support to ensure smooth day-to-day operations. This role requires flexibility to work evenings and weekends.
Administrative Duties
- Greet and welcome clients in a professional and compassionate manner.
- Answer phone calls, emails, and client inquiries promptly and accurately.
- Manage clinicians’ calendars and scheduling.
- Process client payments and reconcile billing records.
- Handle confidential information
- Maintain accurate, up-to-date client files, ensuring all forms are completed and securely stored.
- Monitor waiting areas and ensure the clinic environment is welcoming and organized.
- Provide general administrative support to clinic staff and leadership.
Qualifications
- Diploma or coursework in Business Administration, Office Administration, or related field (asset, but not required).
- 1–2+ years of administrative, and /or client service experience required.
- Strong organizational and multitasking skills. Strong attention to detail is a must.
- Excellent written and verbal communication.
- Comfort with technology (Google Workspace, Microsoft Office, electronic databases).
- A positive, client-centered attitude with professionalism and discretion.

Additional Details:
- Hours are Monday, Wednesday, and Friday 9:30am to 3pm
- Pay starts at $20-$24 depending on education and experience
