Job Summary
We are seeking a detail-oriented and organized Administrative Assistant to anchor our office operations. The ideal candidate will possess exceptional communication abilities, a knack for data organization, and proficiency in client management systems. This role centralizes on coordinating client data across internal and external platforms, managing complex schedules, and maintaining pristine physical and digital filing systems. Operating in a business casual environment, you will ensure seamless communication and data integrity while providing top-tier support to both clients and our internal team.
Responsibilities
- Data & Salesforce Management: Maintain and organize client records within Salesforce, ensuring data integrity, accurate tracking, and streamlined communication flows.
- Carrier Portal Coordination: Efficiently input, update, and manage sensitive client data across various external carrier portals.
- Calendar & Appointment Management: Oversee complex schedules and coordinate appointments using Microsoft Outlook, ensuring zero conflicts and timely reminders.
- Physical & Digital Archiving: Manage and organize physical client files alongside digital records to ensure rapid retrieval and strict compliance with confidentiality standards.
- Client Communication: Serve as a primary point of contact, providing professional updates and clear communication via phone and email.
- Office Operations: Maintain a polished, professional presence reflective of our business casual workplace while managing daily administrative workflows.
- Data Verification: Cross-reference information between physical files, Salesforce, and carrier portals to eliminate discrepancies.
Skills
- CRM & Software Proficiency: Hands-on experience navigating Salesforce (or a similar major CRM) with a focus on data entry and organization.
- Advanced Scheduling: High proficiency in Microsoft Outlook for complex calendar management, meeting coordination, and inbox organization.
- Portal & Data Navigation: Ability to quickly adapt to and manage data entry within various third-party carrier portals.
- Information Organization: Exceptional skills in structuring both digital databases and physical, paper-based filing systems.
- Strong Communication: Clear, professional verbal and written communication skills for interacting with clients, team members, and external partners.
- Meticulous Attention to Detail: A sharp eye for accuracy when transferring information from physical documents into digital platforms.
- Discretion & Confidentiality: Proven ability to handle sensitive client data and proprietary carrier information with the utmost discretion.
