Job Summary
The Executive Assistant to the CEO provides sophisticated, high-level administrative and strategic support in a fast-paced environment. Acting as the CEO's right hand, the EA manages complex calendar scheduling, critical stakeholder communications, and high-priority business projects while maintaining strict confidentiality.

Core Responsibilities
- Calendar Management: Maintain and optimize the CEO's and senior management's complex, rapidly changing schedule. Troubleshoot meeting conflicts proactively. Ensure adequate preparation time between appointments.
- Gatekeeping & Communications: Serve as the primary liaison between the CEO, board members, investors, senior management, and external clients. Screen incoming calls and manage the CEO’s email inboxes.
- Meeting & Board Coordination: Organize logistics for high-stakes executive board meetings, leadership retreats, and company-wide town halls. Prepare agendas, compile meeting packs, and record accurate minutes.
- Travel & Logistics: Arrange comprehensive domestic and international travel itineraries, including flights, hotels, visas, and ground transportation.
- Project Management: Track project deadlines, monitor deliverables from direct reports, and independently lead special operational or administrative initiatives.
- Financial Admin: Manage and process monthly executive expense reports, track department budgets, and review invoices.
- Document Preparation: Draft, review, and format high-level correspondence, presentations, briefings, and legal memos on behalf of the CEO.
Required Skills & Aptitudes
- Emotional Intelligence: High social intelligence to read organizational dynamics, handle sensitive human interactions, and manage stakeholder relationships smoothly.
- Strict Discretion: Proven ability to handle highly classified, controversial, and proprietary business information with absolute confidentiality.
- Forward-Thinking Proactivity: Natural capability to anticipate the CEO’s and senior management’s daily needs, resolve bottlenecks, and mitigate issues before they escalate.
- Technical Proficiency: Mastery of advanced office software suites (e.g., Microsoft Office 365, Google Workspace), project management platforms, and Customer Relationship Management (CRM) tools.
- Exceptional Communication: Flawless written and verbal communication skills tailored for executive and public audiences.
Qualifications & Experience
- Experience: Typically requires 4+ years of administrative support experience, with at least 2–3 years assisting a C-suite executive or business owner.
- Education: A Bachelor’s degree in Business Administration, Communications, or a related field is preferred, though equivalent senior-level experience is highly valued.
Compensation
$ 45,000 ~ $ 50,000 yearly plus benefits.
Travel: As required, occasional
