We are seeking an organized, detail-oriented Data Administrator/Order Entry specialist to support our sales and operations teams. You will be responsible for accurate order processing, maintaining customer accounts, resolving order issues, and providing excellent customer service. This is a fast-paced, customer-facing role that requires strong data entry and communications skills.
Key Responsibilities
- Accurately process customer orders in the ERP system (create, validate, update, and close orders)
- Enter product codes, shipping, and billing information; follow contract terms
- Serve as primary contact for order-related customer inquiries (status, delivery, changes)
- Coordinate with Sales, Warehouse, Logistics, and Finance to resolve exceptions and backorders
- Perform mass data uploads and routine data maintenance using Excel and ERP tools
- Reconcile orders with invoices and shipments; prepare order confirmations and shipping notices
- Produce order and customer reports
- Provide exceptional service to customers and internal stakeholders; support process improvements
- Aid in ad-hoc projects and administrative tasks as required
What We’re Looking For
- 3+ years order entry, customer service, or sales support experience in distribution, manufacturing, or B2B
- Strong data entry accuracy and attention to detail
- Proficient in Microsoft Excel; comfortable with large spreadsheets and data uploads
- Excellent verbal and written communication; customer-focused approach
- Able to manage multiple priorities and work independently with good problem-solving skills
- Meticulous with strong time management and organizational skills
- Critical thinker with the ability to problem solve

Education and Experience
- Diploma or degree in business, administration, supply chain, analytics or related field preferred. Equivalent work experience considered.
