Under the general supervision of the Senior Clerk, the By-Law Enforcement Operations Clerk assists customers by providing information related to the following by-laws: Neighbourhood Liveability By-Law 1/2008, Vacant Buildings By-Law 79/2010, and the Community Safety Business Licensing By-law 91/2008 and supporting daily enforcement operations. This position also provides administrative support to a team of By-Law Enforcement Officers, supervisors and divisional managers, as needed.
As the Clerk B, your duties will include:

Perform office and technical procedures including basic interpretation of the following by-laws:

Vacant Building By-Law 79/2010

Community Safety Business Licensing By-Law 91/2008

Providing professional customer service with current relevant information to residents, business operators, contractors, as well as to internal and external government departments, in a timely and efficient manner.

Processing applications and issues business licenses and other permits, as required by the Division.

Supporting business licensing unit by gathering applications and issues business licenses and other permits, as required by the Division.
-
Providing clerical support by performing cashier functions including receipting, refunds, cash transactions, reconciliation and record management.

Providing support with preparing files, maintaining & updating database and spreadsheet trackers, obtaining Certified Title Searches and Certified Tax Assessments.

Preparing and distributing reports as requested.

Performing other related duties compatible with the classification as assigned.
Your education and qualifications include:

High School graduation or an equivalent combination of training and experience.
-
Demonstrated ability to communicate effectively both verbally and in writing and to meet and deal with a wide variety of people under varying conditions.

Ability to acquire working knowledge of the following by-laws within 3 months:

Community Safety Business Licensing By-Law 91/2008

Vacant Building By-Law 79/2010

The Neighborhood Liveability By-law 1/2008

Ability to acquire working knowledge of the Amanda data system within 3 months.

Knowledge of materials management processes and City contracts for purchasing.

Demonstrated ability to function effectively in a team environment, and deal with people at all levels in a courteous and tactful manner in accordance with departmental guidelines.

Proven ability to work independently with minimal supervision, under pressure in a stressful and politically sensitive environment.

Demonstrated ability to type accurately at 40 w.p.m.

Demonstrated proficiency in use of Microsoft Word (basic), Excel and Outlook.

Demonstrated ability to organize and prioritize multiple tasks, change focus quickly and work within tight deadlines.

Demonstrated ability to establish and maintain positive working relationships with employees at all levels of the organization, external contacts and the public, in accordance with the Respectful Workplace Policy.
