Position Description
Provide administrative and operational support to the Kitchener-Waterloo office while assisting multiple divisions with day-to-day business functions. Working closely with local leadership and corporate teams, this role contributes to the efficient operation of the office through exceptional organization, communication, and attention to detail, while supporting administrative, human resources, and business processes in a professional consulting environment.
Position Responsibilities
- Provide administrative support including document preparation, scheduling, meeting coordination, and reception.
- Maintain organized electronic and physical records while ensuring confidentiality and accuracy of company information.
- Assist with recruitment activities including posting positions, coordinating interviews, preparing employment documentation, onboarding new employees, and maintaining personnel files.
- Support Human Resources initiatives by tracking employee training, certifications, vacation, and assisting with benefits administration.
- Assist with Occupational Health and Safety administration, including maintaining training records, coordinating orientations, supporting incident reporting, and tracking corrective actions.
- Prepare reports, spreadsheets, correspondence, and presentations using Microsoft Office applications.
- Coordinate travel arrangements, project meetings, and other office logistics.
- Liaise with employees, clients, vendors, and external service providers in a professional and courteous manner.
- Support corporate policies, procedures, and continuous improvement initiatives while maintaining a high level of professionalism and discretion.
- Provide general administrative support to project teams and management as required.
Qualifications
The ideal candidate will possess strong organizational and communication skills, with the ability to manage multiple priorities while maintaining a high degree of accuracy and confidentiality. A diploma or certificate in Office Administration, Business Administration, Human Resources, or a related field is preferred, combined with 5+ years of progressive administrative experience, including exposure to Human Resources functions in an engineering consulting setting.
Candidates should be proficient in Microsoft Office 365, including Word, Excel, Outlook, and Teams, and demonstrate excellent written and verbal communication skills. Experience supporting recruitment, onboarding, document management, and administration is considered a strong asset. Experience working within an engineering, consulting, construction, or professional services environment is also considered an asset.
This position is classified as full-time. Rate of pay will be commensurate with related experience and qualifications ($28.00 per hour +).
