Position Overview
Support service department, from scheduling to customer service to administration and everything in between. Be the main point of contact for the coordination of resources, liaison for the customers / employees / managers, organize the scheduling of the department.
Key Responsibilities
- Field customer service requests received by phone or email, ensuring timely and accurate response.
- Schedule and coordinate technician appointments, optimizing routes and availability.
- Organize and manage preventive maintenance (PM) work for multiple customers, ensuring all assigned lists are completed.
- Follow up with customers to schedule additional required work and maintain service continuity.
- Follow up on recommendations and assist customers with planning upcoming work.
- Handle and resolve customer complaints when possible, escalating issues as needed.
- Coordinate with the purchasing team to confirm required parts and material availability.
- Collaborate with the sales team to organize jobs, including creating work orders, reviewing quotes for completeness, and sourcing/creating the necessary checklists or inspections.
- Work with the estimator to organize and prepare upcoming jobs.
- Liaise with managers regarding issues, concerns, job status, and any business matters related to PSL.
- Coordinate with administration on payroll, invoicing, and provide support where possible.
- Work with Human Resources regarding employee concerns, onboarding documents (indocs), and certification tracking.
- Support technicians with work orders, including organizing job details, coordinating logistics, and ensuring all required information and materials are prepared.
- Create documents as needed, such as checklists, reports, forms, or support materials required for job execution or internal processes.
- Generate work orders as required, ensuring accuracy, completeness, and proper entry into the system for scheduling, tracking, and billing purposes.
Qualifications & Experience:
- HVAC/R industry knowledge, including terminology, system components, service processes, and general industry practices.
- Understanding of accepted quotes, including the ability to convert approved quotes into pending jobs and ensure proper setup for workflow progression.
- Awareness of construction jobs and plans in progress, maintaining visibility on timelines, scope, dependencies, and coordination requirements.
- Identification and tracking of equipment and transportation deficiencies or malfunctions, ensuring issues are documented, communicated, and addressed promptly.
