Job Summary
We are seeking a highly organized and detail-oriented Office Administrator to support daily operations within our office environment. The ideal candidate will possess strong administrative, clerical, and customer service skills, with experience in managing office systems and providing exceptional support to staff and clients. This role requires proficiency in various software tools, excellent communication abilities, and the capacity to handle multiple tasks efficiently. The Office Administrator will serve as the first point of contact for visitors and callers, ensuring smooth office functioning and maintaining a professional atmosphere.
Duties
- Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
- Schedule appointments, coordinate meetings, and organize office calendars
- Assist with filing, document proofreading, and general administrative tasks to support staff needs
- Provide customer support via phone, email, or in person, ensuring excellent phone etiquette and customer service standards
- Handle billing, invoicing, bookkeeping, and basic financial recordkeeping using QuickBooks or similar software
- Support office management with clerical duties such as photocopying, scanning, and organizing files
- Ensure the office remains organized, clean, and well-maintained to promote a professional environment
Requirements
- Proven experience in an administrative or clerical role with strong organizational skills in realestate office will be an asset
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and QuickBooks
- Excellent computer skills including data entry, typing accuracy, and proofreading abilities
- Prior experience working at a front desk or handling multi-line phone systems is preferred
- Strong customer service skills with professional phone etiquette and support capabilities
- Ability to manage multiple tasks efficiently while maintaining attention to detail
- Experience in medical or dental office settings is a plus but not required
- Demonstrated organizational skills with the ability to prioritize tasks effectively
- High school diploma or equivalent; additional administrative training or certification is advantageous
