Position Overview
The Administrative Assistant provides essential clerical and operational support to ensure smooth, efficient daily operations. This role involves managing communications, maintaining organizational systems, scheduling, and supporting team members and leadership with general office tasks.
Key Responsibilities
- Administrative Support: Prepare, edit, and format documents, spreadsheets, and correspondence. Maintain accurate physical and digital filing systems.
- Communication & Reception: Serve as the primary point of contact for external and internal inquiries. Manage incoming calls, emails, and physical mail with professionalism.
- Scheduling & Coordination: Schedule meetings and coordinate travel arrangements and itineraries.
- Office Operations: Monitor and order office supplies, and keep shared office areas organized.
- Financial & Data Support: Assist with basic bookkeeping, expense reporting, invoice processing, and routine data entry tasks.
Qualifications & Requirements (Must-haves)
- High school diploma or equivalent required
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Strong verbal and written communication, exceptional time management, high attention to detail, and a proactive problem-solving attitude.
- Ability to handle confidential information with discretion, prioritize multiple tasks, and work both independently and collaboratively.
Preferred Qualifications (Nice-to-haves)
- 2+ years of administrative or clerical experience in a fast-paced office environment
- Estimating experience
- Experience or background reviewing architectural drawings
Full time is preferred but flexible hours can be accommodated for the right person.
Pay: $19.00-$27.00 per hour
