We are currently seeking an experienced Project Coordinator to join our rapidly growing company in Toronto, Ontario.
Position Summary:
The Project Coordinator is responsible for coordinating construction projects of varying stages, size and complexity. Under the direction of the Project Managers and Estimators, the Project Coordinator is responsible for directing, organizing, and controlling project activities, while providing the project team with the most accurate and up-to-date information.
This position requires eligibility for security clearance in accordance with RMC’s Security Clearance & Site Access Policy. Maintaining compliance with the policy is a condition of employment and site access.
Continued employment in this position is conditional upon maintaining eligibility to drive for business purposes under RMC’s Driver & Vehicle Safety Program. Loss of driving eligibility may affect the Company’s ability to continue the employment relationship.
Primary Duties and Responsibilities:
1. Assist Project Managers as follows:
a. Monitor and coordinate project plans, project schedules, work hours, budgets, and expenditures.
b. Organize, attend, and participate in stakeholder meetings including taking and distributing of meeting minutes within (3) business days of the meetings.
c. Document and follow up on important actions and decisions from meetings.
- Maintain and update regular tracking of baseline vs. actual construction schedules, anticipate schedule short-comings, and report to Project Manager.
- Assist with accurate project procurement and tracking.
- Create, issue, and track construction documentation (e.g. CCDCs, Shop Drawings, RFIs, etc)
- Prepare and maintain the stakeholder list on a per project basis.
- Issue and maintain purchase order documentation and update budgets as per Project Manager’s direction.
- Set up newly awarded projects on RMC’s systems.
- Initiate and maintain vendor compliance documentation prior to PO issuance, and throughout the lifecycle of each project
- Create and compile proper and complete invoices based on Project Managers SOV to include stat decs and WSIB.
- Coordinate vendor payments between PMs, AP, and vendors.
- Initiate and maintain project security clearance requirements with vendors and staff.
- Coordinate and compile product manuals, warranty letters, inspection reports, and certifications from sub-trades to create project close out packages.
- Assist to maintain all documents and project logs, ensuring that all testing, inspection, and verification documents from the site are discussed with the Project Executive for distribution to the corresponding Designer/Engineer for review and approval.
- Take calls and set up responsive action for post-construction client support on warranty issues.
- Provide support and insight to the Project Managers and Site Supervisors.
2. Assist with general Office Management:
a. Order office supplies as may be required from time to time
b. Champion and lead new office initiatives as they may arise from time to time (e.g. coordination of office moves, renovations, etc).
c. Assist in the general upkeep of the office to ensure it is kept in a neat and safe condition.
d. Liase with the Landlord via Tenant Requests and/or emails for cleaning requests, HVAC issues, or other issues as they may arise.
3. Travel to multiple sites throughout Ontario for tender site walkthroughs.
- Support all health & safety initiatives and be an effective workplace role model through the promotion of health & safety.
- Other duties as assigned.
Knowledge and Skill Requirements:
- General understanding of Construction industry principles and techniques.
- General understanding of trade scopes, scheduling, and coordination of work.
- Ability to work in a team atmosphere and influence others.
- Self-motivated and operates with a sense of urgency.
- Proficiency in English (speaking, reading, writing).
- Strong computer skills including proficiency with all Microsoft office programs.
- Typing proficiency: 60 WPM or faster.
- Procore experience is considered an asset.
- MS Project experience is considered an asset.
- Must own vehicle and possess a valid G license with a good driving record.
Minimum Qualifications:
A secondary diploma and generally five (5) years of experience in construction project coordination is preferred. Equivalent combinations of education and experience will also be considered.
Must meet and maintain all security clearance requirements as defined in RMC’s Security Clearance & Site Access Policy, including self-reporting of any changes that may affect clearance or site access.
Must meet and maintain all eligibility requirements in RMC’s Driver & Vehicle Safety Program, including mandatory self-reporting of any licence, insurance, or driving-record changes that may affect the ability to drive for business purposes.
Continued employment in this role requires ongoing compliance with RMC’s Driver & Vehicle Safety Program and Security Clearance & Site Access Policy.
