We are seeking an organized and forward thinking individual to fill a full time Executive Assistant/Office Administrator role for our new Vancouver Office!
Reporting to the Managing Partner, the Executive Assistant/Office Administrator will work closely to support with overall operations of our Vancouver office as well as support our Managing Partner with any administrative support he needs.
** The start date for this role is Early September to match the opening of our new Office space. **
Core Responsibilities and Duties
- Welcome clients and visitors, ensuring a professional, friendly, and positive front desk experience.
- Oversee the day-to-day office environment by managing office operations, supplies, IT equipment, and office inventory.
- Deliver exceptional, timely, and responsive service to clients, contributing to an outstanding client experience.
- Support partners with client engagement administration, including engagement letters, document preparation, and client communications.
- Act as the primary point of contact for internal and external stakeholders for the Managing Partner, maintaining professional and confidential communications.
- Anticipate the Managing Partner’s needs by proactively managing priorities, identifying potential conflicts, and recommending solutions.
- Provide administrative and project support to the Managing Partner, helping to manage priorities and key initiatives.
- Liaise with the CRA on behalf of clients to respond to inquiries and assist in resolving issues.
- Process client payments accurately and efficiently.
- Coordinate the intake of client documentation and ensure completed materials are delivered in a timely manner.
- Utilize technology and firm systems to improve accuracy, efficiency, and overall workflow.
Qualifications and Experience
- 2+ years experience working in an administrative or executive assistant role or in a comparable role preferably in Public Accounting
- Bachelor degree or related diploma with relevant focus
- Excellent written and verbal communication in English
- Ability to adapt style of communication depending on who you are interacting with
- Instinctive listening skills when receiving direction or information that can translate into action
- Quick execution skills on tasks with high accuracy
- Proficient with Microsoft Suite (Excel, Word, Outlook, OneDrive, Sharepoint)
- Comfortable operating in a paperless environment
- Experience with Caseware, iFirm and Quickbooks considered an asset
- Excellent time management skills
- The ability to work independently with minimal supervision, then come together as a team when needed
- Driven to meet simultaneous deadlines and adapt to competing priorities

Pay: $60,000.00-$75,000.00 per year
