Position Title: Executive Director
Classification: Full Time, Regular (Remote)
Accountable to: President of the BCSF with reporting relationship to the Board of Directors
Summary:
The Executive Director is the organization’s chief of staff and is solely accountable to the
President of the Board for the success of ongoing operations within established executive
boundaries approved strategic plans, and operational budgets. The Executive Director identifies
and develops strategy and policy for recommendation to the Board of Directors. In partnership
with the elected and staff leadership of the federation, the Executive Director achieves the goals
and furthers the mission of the federation. Flexibility and availability regarding work hours are
essential to meet organizational objectives.
Primary Duties and ResponsibilitiesLeadership
- Support the Board in developing the federation's statement of vision, mission, and goals, and be responsible for developing corresponding strategies and budgets to achieve these goals.
- Direct and execute the corporate activities of the federation either directly or through delegation of authority.
- Ensure the development and implementation of priority plans, performance measurements, and management controls, for federation programs and initiatives.
- Communicate ideas, instructions, and information both orally and written in a language and style appropriate to the intended audience such that key points are made clearly and the integrity of the message is maintained.
Operational Planning & Management
- Monitor the ongoing implementation of approved plans and budgets as part of the annual planning and budgeting cycle and present recommendations to the Board of Directors.
- Propose agenda items for the Board of Directors reflecting issues, opportunities, and priorities.
- Provide support to the Board by preparing and distributing all meeting materials.
- Present a written Executive Director's report to all board meetings.
- Review Federation policies at a minimum annually and present draft policies and rationale for Board of Directors consideration.
- Maintain the necessary contacts to keep abreast of emerging issues of significance to the Federation.
- Ensure that all member clubs complete and return mandatory paperwork each season and that this information is filed.
Program Planning & Management
- Identify, document, and articulate the needs of member organizations and stakeholders for Board consideration.
- Ensure that the programs and services offered contribute to the federation's Mission and reflect the priorities of the Board of Directors.
- Monitor the day-to-day delivery of programs and services to maintain or improve quality and scope.
- Produce annual and interim program updates for the Board of Directors.
- Develop and maintain an effective staffing level to deliver programming and make recommendations when needed for consideration of the Board.
Club Support and Collaboration
- Build collaborative relationships with member clubs, offering one-on-one guidance as needed to support local initiatives and strengthen operational capabilities.
- Advocate for resources to help clubs expand or protect land access, positioning them as proactive community partners.
- Develop tailored support strategies that empower clubs to thrive independently while promoting a unified vision for snowmobiling across the province.
- Act as both a contact point and a trusted advisor, actively addressing club challenges and opportunities as they arise.
Human Resource Planning & Management
- Hire, reward, discipline, terminate, and set the remuneration of, all federation employees except for him/herself, by policy and/or approved budgets.
- Establish and maintain a positive, healthy, and safe work environment following appropriate legislation and regulations.
- Discipline staff when necessary and release staff when necessary using legally defensible procedures.
- Develop and review job descriptions regularly to ensure they reflect the needs of the Federation and its programs.
- Implement a performance management process for all staff which includes monitoring the performance of staff and conducting annual performance reviews.
- Ensure that all staff and Board members receive an orientation to the Federation and that appropriate training is provided
- Coach and mentor staff as appropriate to improve performance
Financial Planning & Management
- Work with the Treasurer to prepare an annual budget for consideration by the Board of Directors.
- Work with the Board of Directors to secure adequate funding for the operation of the Federation.
- Research funding sources, oversee the development of fundraising plans, and write funding proposals to increase the funding for the Federation.
- Approve expenditures within the authority delegated by the Board of Directors
- Administer the funds of the Federation according to the approved budget and monitor the cash flow.
- Provide the Board of Directors comprehensive interim financial statements that show revenues and expenses as compared to the budget at least monthly or as requested.
- Develop and implement policies and procedures to ensure that personnel and financial information is secure and stored in compliance with current legislation.
Community relations/advocacy
- Serve as a member of boards, committees, councils, task forces, and other member forums as assigned by the Board of Directors
- Serve as the primary contact point for member organizations, stakeholders, and partners.
- Actively build relationships that could enhance the success of the federation and establish credibility and authority such that a positive and professional image of the organization is maintained.
- Communicate with members and stakeholders to keep them informed of the work of the Federation.
- Develop a recognition program that shows respect and appreciation for the critical role of volunteers, staff, and partners in delivering organized recreational snowmobiling throughout British Columbia.
- Use various strategies and techniques to persuade, convince, or influence others to endorse the Federation's vision, mission, and goals.
Risk Management
- Identify and evaluate the risks to the Federation staff, Board of Directors, volunteers, property, and finances, and manage or implement measures to control these risks.
- Ensure that the Board of Directors and the Federation carry appropriate and adequate insurance coverages.
- Ensure that the Board and staff understand the terms, conditions, and limitations of the insurance coverages.
Job Type: Full-time
Pay: $85,000.00-$95,000.00 per year
