Summary
We are currently seeking a highly organized and detail-oriented Office Administrator & HR Coordinator to join our team on an initial 12-month maternity leave contract. This role offers a strong opportunity for extension or transition into a permanent position based on performance and business needs.
This is a dynamic, hands-on role that is primarily administrative, with added exposure to HR. The ideal candidate thrives in a fast-paced environment, enjoys multitasking, and takes pride in keeping operations running smoothly.
Key Responsibilities
- Monitor, order, and replenish office, kitchen, and boardroom supplies regularly.
- Manage general office operations, including cleanliness, organization, and upkeep of shared spaces (office, showroom, meeting rooms, lunchroom).
- Welcome and assist visitors, ensuring a professional front-office experience.
- Handle incoming and outgoing mail, courier services, and package distribution.
- Manage company phone lines and general email inbox, including directing inquiries appropriately.
- Coordinate travel arrangements (flights, hotels, and vehicle rentals) for employees.
- Arrange catering and food services for meetings, training sessions, and company events.
- Maintain vendor contracts, track renewals, and coordinate services (cleaning, landscaping, shredding, etc.).
- Manage business license applications and renewals, as well as utility account setup for facilities.
- Administer company vehicle program, including annual fleet plan renewals and vehicle additions, maintenance, inspections, and documentation records, as well as coordination of repairs, rentals, and ICBC claims
- Issue and maintain the Company Vehicle Policy for drivers.
- Track and manage building keys, including issuance and return documentation.
- Maintain inventory of storage room supplies, promotional materials, and giveaways.
- Coordinate building maintenance services and report facility issues.
- Oversee coffee machine maintenance and kitchen equipment upkeep.
- Ensure compliance with workplace cleanliness and organizational standards.
- Plan and coordinate company events, social activities, and monthly initiatives.
- Manage logistics, including vendor coordination, sourcing, budgeting, and tracking expenses.
- Organize employee recognition activities (birthdays, anniversaries, celebrations).
- Support the planning and execution of large events (e.g., holiday parties).
- Coordinate Lunch & Learn sessions, including catering and materials preparation.
- Prepare and submit company credit card expense reports.
- Coordinate courier services and logistics for financial or legal documents.
- Assist with donation tracking, reporting, and cheque requests.
- Manage shipping logistics for products, samples, and marketing materials, including tracking records.
- Act as an executive assistant to the senior management when required.
HR Support Duties:
- Assist in recruitment processes, including job postings, candidate sourcing, and interview coordination.
- Support onboarding activities for new hires.
- Maintain employee records within HRIS (Dayforce).
- Assist with payroll administration and employee change processing.
- Coordinate employee training programs (e.g., first aid, forklift certification).
- Administer employee benefits enrollment and maintenance.
- Track employee milestones such as anniversaries and support engagement initiatives.
- Provide general support for day-to-day HR operations.
Working Conditions:
This role operates in a professional office environment and requires collaboration across departments, including Admin, HR, Finance, Sales, Marketing, and Maintenance.
Pay: From $53,000.00 per year
