Summary of the role
The Research Assistant II provides research and administrative support to the Department of Family Medicine (DFM) Research Team. This role supports the full research life cycle across multiple concurrent projects, including program coordination, data collection and analysis, ethics and grant support, scholarly writing, and faculty and resident assistance. The successful candidate will work closely with the Research Manager, Director of Research, faculty investigators, and trainees.
Main duties and responsibilities
Program Coordination
- Coordinate the monthly Family Medicine Grand Rounds (FMGR) seminar series: manage accreditation submissions, identify speakers, obtain consent forms, create promotional materials, distribute session evaluations, track attendance
- Coordinate Research Program: schedule and document committee meetings, support trainee recruitment and progress tracking, manage program inquiries
Research Project Support
- Support the Director of Research and faculty investigators on active studies by assisting with ethics submissions, amendments, and renewals
- Recruit study participants; collect data through surveys and interviews; clean and organize raw datasets
- Conduct quantitative and qualitative data analysis using Excel, SPSS, and NVivo
- Draft, edit, and format manuscripts for journal submission; prepare conference abstracts, posters, and presentations
- Schedule regular project update meetings; prepare agendas, document minutes, and track action items
Grants and Ethics
- Support grant application preparation, including writing, formatting, and tracking submission deadlines
- Prepare and submit Research Ethics Board (REB) applications, renewals, amendments, and responses to committee feedback
- Monitor and communicate funding opportunities and grant deadlines to DFM faculty
Metrics and Data Management
- Collect monthly DFM research publications via PubMed and upload to the DFM website
- Maintain annual publication and grant metrics tracking
- Keep faculty contact lists, grant tracking sheets, and REB tracking sheets current
Faculty and Resident Support
- Provide research support to DFM faculty as directed, including data cleaning and analysis, manuscript formatting, poster creation, and qualitative methodology guidance
- Support DFM residents with scholarly project guidance, including REB application advice and committee feedback distribution
- Participate in DFM working group meetings and contribute to governance discussions
Perform additional duties as assigned by the Research Manager
Qualifications
- Master’s degree in a health-related, social science, or life science field, with a minimum of one year of relevant research experience
- Working knowledge of data analysis tools: SPSS, Excel (including Pivot Tables and graphs), and NVivo
- Proficiency in Microsoft Suite (Word, PowerPoint, Outlook, Teams)
- Demonstrated writing skills for grant applications, ethics submissions, manuscripts, and scientific posters
- Knowledge of both quantitative and qualitative research methodologies
- Strong organizational skills; able to manage multiple concurrent projects in a dynamic environment
- Strong interpersonal skills; able to work independently and collaboratively within a team
- Fluency in English and French (written and spoken)
Key Competencies
- Experience with research program coordination or accreditation processes
- Familiarity with academic ethics review processes (e.g., REB submissions via Cayuse or similar platforms)
- Experience working in an academic health sciences or family medicine setting
- Knowledge of AI tools applied to research (e.g., qualitative coding, literature review, data synthesis)
