MEDICAL OFFICE ASSISTANT & WEEKEND RECEPTIONIST
Supporting the Vision, Values, Purpose, and Commitment of Olive Fertility Centre:
Reporting to the Administration Team Mananer and Director, Clinic Operations, the Medical Office Assistant & Weekend Receptionist is pivotal to the organization – this role focuses on maintaining patient centred care while managing physician expectations for an overall positive patient experience.
Work Schedule: 7:15am – 3:15pm Sundays & Stat Holidays; 8am-4pm Monday- Thursday
Key Areas of Involvement Include:
ADMINISTRATION BACK-UP
Overview: Sunday & Stat. Holidays - 3rd Floor Reception
- Greet and check-in patients and double check demographics as they enter the clinic.
- Manage waiting room/ultrasound room while communicating with procedure room nurses regarding patient flow.
- Shipping medications/biopsies and samples
- Document Management - Electronic Filing of test results and manual scanning of documents into charts
- Directing patients to Accounting.
- Answer and triage all incoming calls; monitor incoming faxes
- Provide referral and clinic facility information to callers ensuring correct information is imparted.
- Retrieve all overflow voice message calls.
- Performing other duties as needed
Monday – Thursday ADMINISTRATION BACK-UP
- Assists 3rd Floor Reception with covering breaks & lunches, end of day.
- Back-up for eFiling, scanning and fax management
- Secondary switchboard operator
- Other duties as required
Qualifications:
- Education, Training and Experience:
- Grade 12 graduation
- Minimum of two (2) years related experience
- Previous Medical Office experience is an asset
- Medical Office Certification is preferred
Skills and Abilities:
- Proficiency with answering multi-line switchboard without losing calls or missing calls.
- Positive, friendly, and professional demeanour.
- Exceptional communication skills.
- Demonstrated ability to prioritize & multi-task.
- Proficient with computers and applicable software applications, including EMRs and MS Office. Willing and able to learn new programs and systems.
- Strong work ethic.
- Demonstrated ability to work independently and as a member of a multi-disciplinary team.
- Able to lift & carry up to 25lbs.
