As the Administrative Assistant I you will provide senior level administrative support to the Manager of Human Services & Innovation to ensure a structured and organized operation that meets the goals, objectives and commitments of the branch, creating and maintaining professional rapport with all internal and external contacts.
Act as the first point of contact for the Manager’s office; use discretion and judgement regarding the flow of information
Maintain calendars, arrange meetings, prepare meeting packages, track action items, research and support preparation of reports, presentations, documents and correspondence
Manage electronic and hard copy corporate records, create or revises forms, coordinate FOIP requests, tracking of job requirements (i.e. first aid, criminal record checks, suicide prevention expiry dates)
Coordinate registrations for professional development
Being responsible for creating processes and procedures by analyzing current practices and projects and looking for efficiencies
Provide administrative support to the Director as backup for the Administrative Assistant II when needed
Actively participate as a member of the department’s administrative team
Skills and Abilities
Knowledge of administrative principles and practices
Excellent interpersonal, customer service and communication skills (verbal and written)
Excellent time management skills, ability to manage multiple tasks all with minimal supervision
Ability to handle confidential information with a high degree of judgement and discretion
Ability to work independently, with flexibility and adaptability
Proficiency with Microsoft Office 365 and Adobe
Ability to set and enforce clear boundaries
High School diploma with five years of diversified office administration experience
Diploma or certificate in office administration is an asset
Municipal government experience in a related role is preferred; experience working in a Social Services setting would be considered an asset
Experience working with Microsoft office suite is required
